Job summary

JOB PURPOSEWe are seeking an experienced and motivated Hardware Asset & Purchase Officer to join ourgrowing Digital team. This is a unique opportunity to help shape the future of our IT hardware assetmanagement processes and make a real impact on our organisation.As an Hardware Asset and Purchasing Officer, you will be responsible for procuring, deploying,maintaining, and disposing of all Digital hardware components and systems. You will manage thehardware asset platform and ensure all Digital Assets are controlled. You will play a key role inensuring the security and sustainability of our hardware assets, and you will have the opportunity towork with a talented and dynamic team of Digital professionals.

Main duties of the job

  • To respond to Service Requests for equipment in accordance with standard operating procedures. To track IT equipment, including the build and dispatch of hardware ready for end user installation, to meet business as usual and approved project requirements, to agreed quality standards and service levels.
  • Be responsible for stock control, report on stock levels and provide replenishment services ensuring stock levels are maintained within pre-defined financial constraints as per planned business volumes or to meet approved project requirements
  • Co-ordinate receipt and dispatch of assets and ensure the movement of equipment is controlled and audited as per established security policy, maintaining stock rooms in accordance with corporate health and safety guidelines
  • Arrange for secure disposal of obsolete assets in accordance with standard operating procedures.
  • Purchase all new hardware requests through relevant cost codes to support individual departments and ensure all due diligence is done on hardware before order is placed.

Job description

Job responsibilities

  • To respond to Service Requests for equipment in accordance with standard operating procedures. To track IT equipment, including the build and dispatch of hardware ready for end user installation, to meet business as usual and approved project requirements, to agreed quality standards and service levels.
  • Support site visits for regular inventory audits to validate status of assets as recorded within the asset database(Manage Engine) as determined by the line manager. Ensuring the timely return of overdue loan equipment and unused or obsolete assets as per established stock management procedures.
  • Be responsible for stock control, report on stock levels and provide replenishment services ensuring stock levels are maintained within pre-defined financial constraints as per planned business volumes or to meet approved project requirements
  • Co-ordinate receipt and dispatch of assets and ensure the movement of equipment is controlled and audited as per established security policy, maintaining stock rooms in accordance with corporate health and safety guidelines
  • Arrange for secure disposal of obsolete assets in accordance with standard operating procedures.
  • Apply the successful implementation of business, organisational and technological change by participating in office moves and change projects, contributing to the ongoing development of the IT Asset Management function ensuring new and or established service standards are achieved.
  • Maintain awareness of technological, service and business developments to ensure the continuation of high-quality services within Digital Services.
  • Purchase all new hardware requests through relevant cost codes to support individual departments and ensure all due diligence is done on hardware before order is placed.

Maintain the IT asset and CI data and their relationships within the CMDB to ensure accurate information is readily available to enable IT Service Management practices and decision making

  • Monitor the MDM Platform to ensure that devices are reporting into solution (and if not, speak to owners of the devices and ensure if not in use they are returned back to the IT Department.
  • Be responsible for all Digital Hardware Asset, including but not limited to Laptops, Desktops, All In Ones, Printers, Monitors, Speech Mikes.
  • Liaise with and support services and provide detailed IT Asset & Configuration Management reports, with monthly actions clearly identified and coordinated in a SMART (Specific, Measurable, Achievable, Results Oriented and Timely manner) way
  • Build and maintain effective relationships, working with key stakeholders to manage the lifecycle for all in-scope IT assets
  • Manage the lifecycle of IT Assets, liaising with the internal and external stakeholders as required, to ensure that requirements due are processed in a timely way
  • Supports with training new staff members and/or other staff members in departments on specific IT systems
