Job summary

The post-holder will provide administrative support to the Health & Safety and Compliance Team with particular focus on maintaining and monitoring services compliance with quarterly and ad hoc health and safety reporting. Monitoring and reporting on progress of Health & Safety and Compliance projects and maintain effective systems of communication with colleagues and escalate any non-compliance. Manage both incoming and outgoing communications in a professional manner on behalf of the Team.

Main duties of the job

The post-holder will assist the Head of Health and Safety and Regulatory Compliance and the Health, Safety and Fire Team in the provision and monitoring of health and safety standards; and in the delivery of health and safety training to staff through face to face, online or virtual training (e.g. TEAMS) as directed. Assist with the recording of health and safety information to support data collation, reporting on trends and issuing safety alerts as and when required. To support with the administration of the Central Alert System database, the Trust Lone Working solution and developing and maintaining health and safety databases.

Support the Health & Safety and Compliance team for the day-to-day administrative support of the team.

Support the maintenance and development of the team pages on Connect, maintaining databases and overseeing the lone working portal

Be familiar with the aims, change activities and measures of success of each workstream within the team.

Support the team in the development of their plans and act as a centre of excellence on health and safety and compliance.

Lead on the administration and reporting for the progress of the team workstreams:

a. Liaise with Service Leads to update and report on progress of action plans, CAS alerts and CQC requests

b. Provide administrative support for meetings including the setting up of meetings, arranging agendas and papers and taking minutes

c. Ensure effective document management and compilation for internal audit

d. Develop, maintain and monitor performance indicators in a dashboard

e. Produce high quality regular reports to multiple audiences such as the local Health and Safety groups and stakeholders.

f. Carry out complex data analysis for the team.

Scheduling and coordinating projects and team meetings: taking minutes, preparing meeting agendas and distributing papers, ensuring attendance and being responsible for progress chasing actions to be taken.

  • Experience of working within project support
