Job summary

Elective admissions is a valued service provider to the trust. We are responsible for the scheduling of patient admission dates for all elective surgery. Our goal is to achieve 85% theatre utilisation for approximately 90 consultants within General Surgery, Orthopeadics, Gynaecology, Urology, Ophthalmology, ENT, Max Fax, Chronic Pain and Cardiology. We are looking for an individual with a positive attitude and the ability to lead and support our teams of booking clerks to achieve to our targets, ensure patients are treated within 18weeks and provide a quality patient service

Main duties of the job

  • Maintain at all times an organised and tidy work area, signs and notices are in date and displayed correctly
  • Action emails, telephone calls and answer machine messages in timely manner
  • Ensure that messages are taken accurately and actioned appropriately i.e. passed to individual clerk or Manager
  • At daily team huddle set teams/individuals priorities each day and track progress
  • Ensure all lists are booked to minimum of 85%
  • Ensure all list are locked down 2 weeks prior to scheduled date
  • Move staff / resource as required by needs of the service e.g. to achieve 85% utilisation or 2 week lock down
  • Deal with Envoy messages daily for each team and delegate duties as necessary
  • Ensure that any issues are communicated quickly and effectively to the Elective Admissions Manager
  • Report performance issues to the Elective Admissions Manager
  • Be a resource to the team on 18 week RTT rules etc
  • Identify attendee for weekly scheduling meetings (self or clerk)and Chair as necessary in absence of SUC's
  • identify actions from scheduling meetings and ensure compliance with action deadline date
  • Action cancelled op report on a daily basis
  • Identify any 28dr patients and organise TCI date within target
  • Cover colleagues as required
  • Liaise with Multidisciplinary team
  • New starter induction and paperwork including passwords
  • Train all new starters as per instruction manual
  • Liaise with system support
  • Assist with booking of any specialty that requires assistance

Excellent communication skills are essential to ensure the elective teams are motivated by this key individual who will be committed to achieving all key targets and an ultimate team performance.

  • Effective working knowledge of Access Booking and Choice key Targets
  • Proven IT skills and competency
  • 4 GCSE,s at Grade C or above or equivilant level of experience
  • Excellent communication and interpersonal skills Able to relate and communicate with a wide range of clinical and professional groups, commanding respect and establishing effective and professional working relationships.
  • Able to work well in a team, be supportive of team members.
  • Able to work extra hours on occasions and provide reasonable flexibility in terms of hours worked Willing to adapt to the changing needs of the service
  • Motivated individual with a committed approach to work and the ability to successfully lead a team
  • Able to manage priorities under pressure and be well organised in a busy environment
  • Able to keep information confidential.

Desirable

  • 12 months experience in a customer care environment
  • Relevant NHS experience and awareness of current Access and Confidentiality legislation
  • Familiar with Microsoft Packages e.g.Word,excel, Internet and Email
  • 12months experience of supervisory and leadership skills
