Materials Management Assistant
Strengthening the Team & Developing the Service
The Lancashire Procurement Cluster is a ground breaking shared service which is creating a step change in procurement and supply chain maturity for the member trusts; Blackpool Teaching Hospitals NHS FT, East Lancashire NHS Trust and Lancashire Teaching Hospitals NHS FT. It is fundamentally re-shaping the role of Procurement across the local health economy to ensure the service is fit for purpose and can deliver value and customer satisfaction in a sustainable manner.
The LPC is hosted by ELHT but staff are based across all three organisations. The vision is to deliver an excellent procurement, logistics and supplies service which focusses on continuous improvement, delivers value for the Trusts in terms of savings and efficiencies and improvesoutcomes for patients.

Main duties of the job
We are now looking to recruit a Materials Management Assistant. Reporting to the Senior Supply Chain Coordinator, the post holder will be responsible for providing a range professional supply chain and logistics service for the ward and theatre teams at the East Lancashire Hospital Trust.
Materials Management Assistants will provide support in: Providing an inventory replenishment service (Inventory management order and top-up) Maintaining systems data accuracy (Microsoft Excel, auditing, standardisation) Providing helpdesk support (customer service and systems understanding)
Materials Management Assistants will play a leading role, as the theatres/wards are currently undergoing a major transformation, with the introduction of a new and exciting Scan for Safety (S4S) enabled dynamic inventory management system. This new system will provide improved service characteristics that will benefit the Trust, theatres and promote enhanced patient safety features

JOB SUMMARY
- The post holder will assist in the day to day Materials Management service for dedicated areas within the Trust.
- The job is for 37.5hrs a week which will be made up of 7.5hr daily shifts between the hours of 07:30 to 16:30
- There may be a requirement to cover other shifts: 6am to 10pm weekdays and 8am till 4pm at weekends and potentially nights (4 nights) 20:15 06:15 on a 4 weekly rota basis in line with the needs of the service.
- Operating within broad procedural guidelines the objective for the post holder is to ensure a timely and effective top up stock and non-stock system, replenishing stock to agreed levels, checking and put away of goods. Most of the working day will be spent at theatre /departmental level therefore a measure of independent judgment will be required from time to time.
- This post covers a range of tasks some of which require the exercise of initiative.
- To provide in association with other staff, a professional procurement and logistics service to the Trust
- To assist Trust Management in meeting the corporate objectives of the Trust.
MAIN DUTIES:
To assist in the implementation and maintenance of a materials managed service, undertaking the day to day ordering activity on behalf of the customer. Replenishing goods at theatre and departmental level using bar code systems as appropriate.
- Receive, check and put away deliveries ordered via materials management service. Ensuring that items are rotated and do not exceed expiry dates, stored in the correct location and the store area left tidy.
- The position requires physical effort often in confined spaces on a daily basis such as the manual handling of roll cages and unpacking of products on to the store room shelves.
- Ensure discrepancies for returns and credits are processed timely and appropriately.
- Carrying out quarterly reviews with appropriate ward/theatre/department leads, using system information to illustrate spending patterns identifying products and stock levels.
- Keep all associated paper work regularly updated in line with code and location changes.
- Have a flexible attitude to working hours to meet the needs of the customer.
- Provide cover for other Materials Management Assistants as identified by the Supply Chain Supervisor.
- Ensure compliance with Trust financial instructions and policies.
- Other duties as required.
COMMUNICATION
- Work closely with other members of the Materials Management/Procurement Team and wider departmental based Trust colleagues.
- Communications will involve providing advice either by face to face or by telephone, within meetings, written, letters, memorandum and e-mail.
- Resolve customer queries/complaints.
- Develop strong working relationships with Trust colleagues.
- Build and maintain strong customer and supplier relationships
TRAINING AND DEVELOPMENT
- Undertake all relevant mandatory training.
- Maintain personal and professional development to meet the changing demands of the job,
- Participate in appropriate training activities.
ORGANISATIONAL RESPONSIBILITIES
- To purchase goods and services, within agreed targets and for specific customer groups/departments.
- Develop and maintain a sound knowledge of products.
- To participate in the development and performance of the Supply Chain/Materials Management Team in accordance with the Trusts business plan.
- Ensure that clinical incidents are reported and dealt with in accordance with the Trusts procedures, liaise with appropriate staff and keep records maintained.
- Advise customers of inabilities to supply, and offer alternatives where identified.
- Advise customers of slow or non-moving stock and act appropriately for the benefit of the Trust.
- Ensure that a clean and safe working environment is maintained.
- Ensure that all duties are carried out in accordance with the Trusts Health & Safety policy.
- Ensure that appropriate records are kept and filed on behalf of customers in accordance with audit procedures.
