Job summary

We have an exciting opportunity for three full time booking co-ordinator within our new community ophthalmology service. We are looking for enthusiastic and motivated individuals who want to make a difference to our community patients.

Based in Chalfont the position will provide high quality administrative support.

Main duties of the job

  • Arrange clinics and appointments using our Careflow system, cancelling and changing appointments where necessary.
  • Manage and log referrals for clinical triage.
  • Ensure patients are communicated to in relation to their appointments via phone, letter, email or text.
  • Process requests for clinic changes and cancellation requests when required.
  • Work closely with and maintain excellent communication channels with the clinical team.

Person Specification

EDUCATION, QUALIFICATIONS & TRAINING

Essential

  • Educated to GCSE level or equivalent
  • Customer Service NVQ level 2 or equivalent experience.

EXPERIENCE

Essential

  • Experience of dealing face to face and over the phone with customers /patients in a busy front-line working environment
  • Experience of being in a secretarial /administration role, preferably within the NHS

SKILLS, ABILITIES & KNOWLEDGE

Essential

  • Excellent knowledge of Microsoft Office, especially Word, Excel and Outlook.
  • Knowledge of computerised appointments systems (staff required to book appointments)
  • Good written & verbal communication skills to enable liaison with all staff, patients, relatives and visitors.
  • Organisational skills to enable completion of own workload to meet deadlines within a busy environment.
  • To be able to cope with pressure and tight deadlines whilst retaining accuracy and attention to detail.
  • Knowledge of Data protection Act and Confidentiality, Health & Safety at Work Act
