We at East Suffolk & North Essex NHS Foundation Trust are pleased to announce an exciting opportunity to join the team as a Materials Management Officer to be employed on a full time, permanent contract. This position is based on-site at Ipswich Hospital.

The role is ideally suited to an experienced warehousing handler who has an understanding of the supply & logistical landscape within the NHS.

We are looking for a highly motivated individual who can problem solve & adapt to change in a positive constructive manner.

You should possess a strong "Can do" attitude and the ability to engage stakeholders both internally & externally. Main duties of the job

  • Responsible for the day-to-day provision of an effective and efficient Materials Management service to East Suffolk and North Essex Foundation Trust, ensuring that ward and department stocks are checked and replenished, following all Trust policies and procedures and Health and Safety requirements.
  • Adoption of a flexible approach towards any supplies activities undertaken and will be required to provide support where it is required on a daily basis
  • Knowledge attainment of a diverse range of tasks & their relevant working environments throughout the Trust landscape
  • Communicate effectively in both person, written format or by e-mail, and respond to urgent telephone and bleep requests taking appropriate action, to ensure timely and appropriate communications with all stakeholders including Trust colleagues, NHS Supply Chain, and suppliers to the Trust and their company representatives.

Job description

Job responsibilities

  • Ensure that the Trust's Standing Financial Instructions (SFI's) are adhered to at all times
  • To assist and coordinate with the provision of the Materials Management service for medical, surgical and day to day consumables to wards and departments
  • To assist & deputise in the absence of the Materials Management Inventory Controller with maintenance of stock lists for each area, which identify the stock and appropriate maximum quantities required, obtaining authorisation from the budget holder. This will include the provision of reports and participation in audits of service provision, to enable managers to monitor their stock levels and range
  • To process orders and advise stakeholders via the NHS Supply Chain (NHSSC) ordering system to ensure timely, accurate and cost effective supply of goods
  • Maintain & manage accurate records and filing systems, both manual and electronic, in a timely and efficient manner.
  • To manage stock control continuously via stock checks, ensuring correct stock rotation and the re-ordering of stock when minimum levels are reached. To identify slow moving stock and re-distribute to other wards when appropriate.
  • All orders to be unpacked, checked and stored following manufacturers guidelines and undertaking quality checks performed to ensure that the stock is in date, is stored correctly and is in good To have responsibility for ensuring storage areas tidy and free of clutter
  • All discrepancies to be identified and appropriate action taken to re-order/return products inclusive of advising both internal & external stakeholders to ensure business continuity
  • To identify and take ownership where necessary of supply chain disruption, assisting with sourcing of alternative products. To relay information to the end user after consultation with the Clinical Procurement team
  • To provide accurate help and advice to wards/clinics and Trust personnel regarding medical/surgical issues, ensuring that the Clinical Procurement Specialist is informed of any issues and concerns.
  • To maintain a thorough understanding & working knowledge of the Trusts Inventory Management System (IMS) & to provide contingency cover in the absence of dedicated colleagues.
