Thrombosis and Anticoagulation Administrator

Hours: bank contract hours, 08:00-15:00

We are looking for a flexible, enthusiastic and motivated individual to work in our busy Same Day Emergency Care (SDEC) unit. You must have excellent communication and interpersonal skills and be able to maintain a calm effective manner with patients/public/staff in this challenging environment.
Excellent administration and organisational skills are essential, as are good keyboard skills and telephone manner. Knowledge of the Hospital - eCare system would be an advantage whilst previous NHS experience would be essential. You can expect a warm welcome, our staff are friendly and welcoming. Main duties of the job
To provide effective and efficient administrative support to the anticoagulation and thrombosis service, and the Planned Care Unit
To deliver a professional, comprehensive, and efficient level of administration and coordination for patients referred to the service
To provide an effective and efficient booking administrative process.
To answer the telephone, take and deliver messages in an appropriate and helpful manner, maintaining patient confidentiality.
To liaise effectively with staff from all departments, wards, medical records, hubs, medical secretaries and GP surgeries.
To perform several administrative tasks in a diligent, professional way to assist with the smooth running of the service.

To manage referrals to the service and maintain the referral records
To book anticoagulation face-to-face and telephone appointments on RPAS
Update planned care patient waiting list at least 2 weeks in advance
To ensure all clinics are utilised
Generate and send letters to patients advising about Planned Care appointments
To contact patients on the telephone to book short notice appointments
Communicate information to patients regarding their appointment, e.g. type of appointment, location, using appropriate techniques and access services to overcome barriers in understanding
To answer patient/staff queries on the telephone, tactfully reassure and refer to nursing staff or team leader as appropriate
To liaise with members of the team to maintain appointments and reschedule as required.
Check patients in and out of clinic using RPAS or PM Office, DNA and follow up appointments in accordance with Trust booking policy.
To maintain referral paperwork for telephone clinic.
To prepare face-to-face appointments with addressograph labels and necessary assessment/record paperwork.
