Job summary
An exciting opportunity has arisen to join the Metabolic Bone team at Sheffield Children's NHS Foundation Trust as a Highly Specialised Service for Severe, Complex and Atypical Osteogenesis Imperfecta (Higher Level) Project Support Officer.

The post holder will form part of the team delivering the national-level Highly Specialised Service (HSS) for Severe, and Complex and Atypical Osteogenesis Imperfecta (SCA OI) to patients throughout England and beyond (based at Sheffield Children's Hospital).
Main duties of the job
Based at Sheffield Children's Hospital, the post-holder will manage data and help monitor the progression of all referrals into the Sheffield service and provide 3 monthly data returns to NHS England (NHSE). The post-holder will support the Metabolic Bone Team in Sheffield and partners at a national level (Birmingham, Bristol, and London) with regard to database management. The post-holder will also provide administrative support for the clinicians, and multi-disciplinary team in Sheffield. Other main duties of the role include;

Duties
- Database Design & Management
- Design and adapt information systems to meet the specifications of the team and the SCA OI HSS.
- Design and maintain a register of all HSS patients referred to the Sheffield team and track their progress exhaustively through the service. Take responsibility for the operation and maintenance of this system (currently an Access database) at departmental and national service level.
- Ensure entry and secure storage of all data relevant to care of individuals within the SCA OI HSS.
- Provide analysis and appropriate updates for the quarterly NHSE returns by interrogating the database, interpreting the data, and creating reports.
- Back-up the OI database as required.
- Provide and receive complex and sensitive information to meet the IT and clinical needs of the HSS.
- Interpret data and create reports as appropriate.
- Attend meetings and liaise with the other members of the HSS (both in Sheffield and with the other three centres (Great Ormond Street Hospital, Birmingham Childrens Hospital, University Hospitals Bristol) to discuss and develop the IT needs of the service.
- Work with Medical Directorate staff to manage and implement aspects of database development.
- Collection of data from and liaison with Level 1 and Level 2 centres.
- Administrative support
- Design and modify proforma, for data collection pertaining to SCA OI HSS.
- Set up efficient systems to capture the necessary data from clinical referrals as they pass through the service.
- Obtain consent from patients and other relevant family members and then request hospital notes, X-rays and test results as directed by the clinical team.
- Provide administrative support for educational events set up and run by the Metabolic Bone Team.
- Deal with frequent telephone calls and electronic mail. Frequent concentration required when typing medical documents and sensitive/distressing letters to patients, along with the ability to cope with telephone interruptions.
- Undertake occasional light physical work in moving files and stock. Use of VDU equipment for most of the day.
- Work as part of an administrative team providing occasional administrative support to cover annual leave and sickness.
- Communication with patients and families.
- In discussion with the clinical team, contact family members during the referral process to discuss practicalities involved in attending the clinics.
- Take messages from patients and family members for the Metabolic Bone Team and provide non-clinical advice about the HSS.
Whilst undertaking the above duties, the post holder will be required to assimilate complex information.
- Ensure that the views of patients, or those speaking on their behalf, are well received, and that complaints, both formal and informal, are received courteously and responded to according to Trust guidelines.

- Liaise with colleagues in the London, Birmingham and Bristol centres to ensure that our services are run in parallel.
- Liaise with colleagues in the London, Birmingham and Bristol centres to co-ordinate national multi-disciplinary team meetings.

- Liaise with laboratory staff and clinicians in the Sheffield Molecular Genetic Service and Clinical Genetics Service about laboratory testing for the HSS.
- Represent the Sheffield service when attending meetings, conferences and study days relevant to OI.
- Provide presentations to the Metabolic Bone Team to update them on service.

- Propose improvements, innovations, and changes to working practices within own area of work particularly with regards to database management and data collection.

- Participate in the audit activity of the Metabolic Bone Disease Service, and, under supervision, occasionally design and lead an audit project.
