We are looking to recruit an Apprentice Administrator to join the Organisational Learning and Improvement (OLI) Team.

You will provide general administrative support for the OLI team including diary management, room bookings, ordering supplies, preparing joining instructions, inputting class registers. You will often being the first point of contact for access to the team providing excellent customer service.

Whilst undertaking the role you will work towards the level 3 Business Administrator apprenticeship. The apprenticeship is designed for people entering a business administration role. It will support you to develop the knowledge, skills and behaviours you need to complete a wide variety of business administration related tasks to support the smooth running of a business or department.

Main duties of the job

  • To maintain an effective administration service, including: dealing with training bookings and queries via phone/email or face to face.
  • Maintain digital filing systems relating to the delivery of support programmes and individual training records
  • Assist in the maintenance of electronic resources, website with regards to course / publicity materials.
  • Organise and take responsibility for maintaining adequate levels of stationery that are used on a daily basis within the department.
  • Maintain the ESR training records by updating individuals training records and ensuring competency profiles are kept up to date for all staff
  • Support in the data entry of Personal Development Reviews.
  • Communicate information about training courses and learning and improvement offer across the Trust and to external organisations as required via e-mail, formal letter, telephone and in person.
  • Request, collect and collate data in support of learning and improvement activities and required reporting arrangements.
  • Maintain a strong customer focus acting as the first point of contact for many enquiries, providing timely and accurate information and advice regarding learning and improvement offer, for example application processes, etc.
  • Provide administrative support to the OLI team including arranging meetings, typing, raising invoices and other basic administrative duties as required.
  • Maintain confidentiality in all aspects of work.
