Job summary
The Senior Ward 20/Theatre Administrator will provide a comprehensive, and efficient administrative service to the Surgical Day Ward, Theatres & Anaesthetic; enabling the delivery of a high quality service to the patients and allowing medical and nursing staff to focus on direct patient care. The post holder will also be expected to assist the Speciality Team Leader in the day to day running of the admin service on ward 20. The post holder will also be expected to maintain & support, when required, the delivery of admin services to the anaesthetic & theatre departments.
The Senior Ward 20/Theatre Administrators will also be expected to take charge of a given area in the absence of the Speciality Team Leader/or regular post holder. They will be expected to take an active role in the training and development of new and established staff and be involved with the recruitment and retention process. Maintain accurate patient records and support the clinical team with administrative and clerical duties. Emphasis is on confidentiality and efficiency; remaining calm, courteous and professional at all times.

Main duties of the job
Primary work area is ward 20 with the expectation that relief support will be provided to anaesthetic &/or Theatre reception when required.The post-holder should be highly motivated and be able to work under pressure with an understanding of a range of work procedures and practices, some of which are non-routine but contribute to the smooth running of the Department.
Provide a full and comprehensive secretarial and administration service to relevant Departments.
Providing the first point of contact for personal, telephone and written enquiries to Ward 20/Theatre & Anaesthesia, using judgement and initiative to establish the validity and priority of the contact. Where enquiries are regarding clinical work, ensuring referrals are allocated to the correct service/department quickly to avoid compromising treatment.Work closely with the clinical & nursing teams to facilitate the smooth running of the weekly and monthly clinics appointments.

- Maintain accurate patient records and support the clinical team with administrative and clerical duties. Emphasis is on confidentiality and efficiency; remaining calm, courteous and professional at all times.
- To be responsible for ensuring that patient information is inputted accurately on to SystemOne. Receive referrals and make appointments, creating clinic lists and preparing notes. Where necessary book follow-up appointments for patients.
- In a constructive and sympathetic manner, referring to the appropriate person where necessary, assist patients, relatives and colleagues by dealing with telephone and face to face enquiries. This may require the use of additional service to support conversations.
- Process & action telephone calls and face to face enquiries from hospital staff and external stakeholders in a constructive manner, acting appropriately and referring to a suitable person where necessary.
- Ensure that all patient documentation is obtained and forwarded in a timely manner to the required department or service.
- Check that prescription charts etc are dispatched & returned to the ward along with that medication and stored appropriately on the ward before the appointment due date.
- Undertake any appropriate roles & responsibilities duties as required by the Speciality Team Leader or nominated Deputy.
