Job summary

The post holder will work within the umbrella of the Workforce Information Team situated in the HR Resourcing team. The Workforce Information Team is responsible for providing information for the management of HR metrics and for rolling out and supporting the implementation of the Manager Self Service functionality of ESR.

The HR Department is part of the Trusts wider Corporate Directorate which includes other functions such as Finance, Payroll, Risk Management, IT, etc.

Main duties of the job

  • Provide first line user support to the users of ESR Manager Self Service Employee Self Service systems and provide advice to users where difficulties or questions arise.
  • To assist with the rollout of ESR Manager Self Service to medical staff and any further implementations of the system.
  • Proactively dealing with a range of queries arising as required.
  • Provide training to users of the system.

Job description

Job responsibilities

  • Provide first line user support to the users of ESR Manager Self Service Employee Self Service systems and provide advice to users where difficulties or questions arise.
  • Assist with the rollout of ESR Manager Self Service to medical staff and any further implementations of the system.
  • Manage the Manager Self Service inbox ensuring all queries are responded to in a timely manner.
  • To assimilate and maintain a library of handbooks, user manuals, advisory notes and other documentation related to the functioning and use of the ESR self-service system.
  • To train users in the use of the system on a one-to-one basis.
  • To assist with the identification of the current procedures and the implementation of new ways of working where applicable.
  • To run routine and ad-hoc reports from the system to identify and provide information to assist with the management of the self-service functionality.
  • Liaise with the Payroll team to ensure pay related changes through the Manager Self Service system are made prior to payroll cut off dates.
  • Raise ESR IBM support requests as and when required.
  • Grant access on a smartcard appropriate to the users responsibility and authorised signatory.
  • Responsible for setting up new managers or supervisors on the self-service system.
  • Working under the direction of the Workforce Information Manager, be expected to use your own initiative to ensure a reliable and timely service is provided to users across the Trust.
  • Obtain professional advice from other colleagues when employee requirements exceed own level of expertise.
  • Communicate with customers at all levels politely and with empathy, especially when dealing with managers and members of staff in sensitive and emotive situations.
  • Manage own workload effectively to enable all deadlines to be met.
  • Maintain up to date knowledge of the ESR system with regard to user notices, upgrades etc.
  • Provide support for all HR systems as and when required.
