Job summary

We have an excellent opportunity for a motivated and well-organised individual to join our Respiratory Department as an Assistant Medical Secretary.

In this role, you will provide administrative support, working closely with the Respiratory Secretarial Team and Consultants. You will be involved in supporting a busy clinical service, gaining exposure to complex respiratory terminology and developing a strong understanding of pathways and patient care processes.

This is an opportunity to build your administrative skills within a supportive and collaborative team, while contributing to the effective and efficient running of a fast-paced clinical department.

The post is based onsite at York Hospital.

Main duties of the job

  • Utilise strong administrative and audio-typing skills, supported by relevant experience or qualifications, to produce accurate clinical correspondence.

  • Print, process, transmit, and distribute patient correspondence and results letters, ensuring deadlines are met and items are sent promptly to the post room where required.

  • Offer cross-cover and administrative support to Medical Secretaries across the wider Respiratory Department when required.

  • Provide timely and precise audio typing to support Respiratory Consultants and the wider clinical team.
  • Undertake a range of general administrative and office duties to support the efficient day-to-day running of the service.
  • Demonstrate excellent organisational skills, with the ability to manage and prioritise a varied and demanding workload.

  • Work confidently and efficiently with minimal supervision, using initiative to meet service needs.

  • Maintain effective communication with members of the medical secretary team and wider staff.

  • Adhere to strict standards of confidentiality, data protection, and professionalism at all times.

  • Actively participate in training and development opportunities to enhance skills and knowledge.

  • Contribute positively to a supportive, flexible, and motivated team environment.

  • Communicate clearly and professionally with patients, demonstrating a confident and courteous telephone manner.
