Job summary

Are you passionate about supporting a positive workplace culture? For this role, we're looking for a passionate and proactive Colleague Experience & Engagement Administrator to join our Workforce division at The Christie NHS Foundation Trust. Reporting to the Colleague Engagement and Experience Lead, this role supports the delivery of the Trust's People & Culture Plan and Inclusive Culture Strategy, improving colleague experience and engagement across the organisation. You'll support delivery of projects and events that promote wellbeing, recognition, and inclusivity, enabling colleagues to feel listened to, supported, and valued throughout their employment journey.

This is full time Band 4 role (37.5 hours per week) and is a hybrid role based at our Withington site and home working.

Interview will take place on Wednesday 20th May and Thursday 21st May 2026

Main duties of the job

You'll provide organised, proactive support to deliver colleague engagement, wellbeing and inclusion activity. You'll help plan and run projects, events and staff listening activity, produce clear communications, ensuring systems, databases and bookings are kept up to date. You'll offer guidance and signposting on policies and wellbeing options and support our culture champion network with local activity.

Working with teams across the Trust, you'll gather and organise data, contribute to reports and help develop documents and toolkits. You'll provide administrative support for formal meetings and maintain a budget for stock ordering. You'll also supervise the day to day work of the Engagement & OD Assistant and use digital tools to improve processes. We're looking for someone organised, flexible and agile, able to manage changing priorities with a pragmatic approach and confidence communicating at all levels while demonstrating our Trust values.

DUTIES AND RESPONSIBILITIES

1. Support planning and delivery of projects which contribute to improving staff engagement, experience, and the development of an inclusive culture. Includes planning and delivering defined workstreams. Assist project leads with preparing and developing project plans and tracking progress against these.

2. Support the planning and running of Trust events linked to staff listening and connection, celebrating diversity, staff recognition and awards.

3. Provide advice, guidance and signposting to managers and staff on a range of policies, processes and projects linked to the work of the department. For example, how to create better team experiences, support staff wellbeing, and related policies, e.g. menopause, reasonable adjustments and flexible working.

4. Provide advice, support and signposting to culture champions/ambassadors within Trust divisions in place to foster diverse and equitable staff experiences, a speaking up culture, and inclusive teams.

5. Support culture champions/ambassadors to run local and divisional events.

6. Respond to staff wellbeing enquiries, signposting as appropriate. Develop and maintain efficient administrative and/or bookings processes related to staff wellbeing services, for example art class referrals, yoga, mens health, and musculoskeletal support. Liaise with suppliers as required.

7. Day-to-day supervision of the Engagement & OD Assistant, providing training and guidance on systems, tasks, and processes.

8. Write communication materials in a persuasive and informative way to ensure high engagement with staff across the organisation. Utilise communication management systems, and other technologies, including artificial intelligence, to support efficient creation of guidance documents, newsletters, and Hive promotions. Monitor changing situations and position messages appropriately.

9. Provide staff training and promotional sessions to raise awareness of how to follow policies and processes linked to staff engagement, health and wellbeing, staff awards and benefits, and the creation of a respectful and inclusive culture.

10. Develop procedures linked to areas of role responsibility. Support colleagues to develop Trust-wide policies, procedures and toolkits. Includes developing and issuing surveys, gathering data and comparing information to help assess options, creating documents and assisting with editing and formatting

11. Develop and maintain databases linked to the work of the department, overseeing data entry by the Engagement & OD Assistant, ensuring accuracy and completeness. Collate data to develop metrics, preparing data reports that identify trends and inform the work of colleagues. Proactively use new technologies, including Office 365 apps, to enhance efficiency. Ensure all information is securely stored and accessible to authorized personnel.

12. Provide administrative support to formal meetings, adhering to Trust policy and process. Includes minute taking, collating meeting agendas and papers, maintenance of collaborative file spaces and attendee liaison.

13. Maintain budget for stock ordering and ensure that office supplies are being ordered appropriately.

14. Be efficient, helpful and courteous, working autonomously to prioritise workload and produce work to an excellent standard within agreed deadlines.

15. Pay attention to detail and a positive, pragmatic attitude to all tasks. Use own initiative to find solutions to problems that arise, seeking direction as required.
