Job summary

To support the work of the Legal Services Team by performing the day-to-day clerical, administration and secretarial duties required.

To liaise as requested by telephone or written communication with outside agencies and internal staff members as required.

To maintain a comprehensive, accurate and timely filing system for inquests and claims.

To assist in and support the delivery of Subject Access Requests.

Main duties of the job

To ensure an efficient and effective administrative and secretarial service is maintained.

To comply with the requirements of The Data Protection Act, Access to Health Records Act and the General Data Protection Regulation in relation to confidential data.

To ensure accurate and appropriate information is provided and that timescales are met in compliance with the above Regulations.

To support Trust staff regarding documentation required to respond to requests from the Legal Services Team.

To ensure the retrieval of medical records as requested.

To ensure accurate photocopying and/or extraction of computerised records where appropriate.

To maintain an efficient system to chase up the clinical teams.

To maintain a comprehensive record of all subject access requests until completion alongside the rest of the team.

To assist various Police Forces with enquiries relating to patient information.

To liaise with various local authorities/solicitors in relation to court orders for care proceedings.

To assist in maintaining a record of all claims and inquests and chasing up outstanding actions on claims and inquests.

Any other task that may be deemed necessary for the provision of services from the Legal Services team by the Head of Legal Services.

Job responsibilities

To ensure an efficient and effective administrative and secretarial service for the Legal Services Team is maintained. Examples of this include preparing documents / letters / enclosures, dealing with mail, filing, arranging meetings, locating health records, photocopying health records. This list is not exhaustive.

To comply with the requirements of The Data Protection Act, Access to Health Records Act and from 25 May 2018 the General Data Protection Regulation in relation to confidential data.

To ensure that accurate and appropriate information is provided and that timescales are met in compliance with the above Acts/Regulations.

To support Trust staff regarding documentation required to respond to requests from the Legal Services Team, whether that be for a claim, inquest, or a subject access request.

To ensure the retrieval of medical records as requested.
