Job summary

An exciting opportunity has arisen for a Clerical Officer to join our Medical Records Library Team. (6am-2pm)

This is a physically demanding role.

As a Medical Records Library Clerical Officer you will be responsible for storage, retrieval and management of patient health records. This role will involve filing patients health records back into file, pulling patient health records for outpatient appointments, actioning mailbox requests for health records and answering telephone calls for urgent patient records.

Main duties of the job

The successful applicant will be expected to act in a professional manner, adhering to strict information governance guidance and always ensure patient confidentiality. The department is continuously looking to improve the service offered and all members of the team are encouraged to suggest new ideas and ways of working.

There may be times when the successful applicant may be required to work flexibly within the department dependent upon business needs and patient demand. Flexibility is expected with regards to working hours to support the provision of a 7 day 24 hour service.

  • Reception welcoming patients to the hospital, reviewing key patient information is entered accurately within the patient administration system and confirming attendance/rescheduling urgent follow-up appointments. This role is desk based.
  • Call Centre a central contact centre that manage telephone queries from patients/ carers and requests to rebook appointments. This role is desk based.
  • Library responsible for storage, retrieval and management of patient health records. This role can be physically demanding.
  • Clinic Prep/Treatment centre/Admissions prepare patient records prior to their outpatient appointment, day case surgery or planned admission. This role is a mixture of desk based and can be physical demanding.

  • Knowledge of Trust systems: PCS, Somerset, NHS e-Referral Service, Bookwise, Envoy.
