We are looking to recruit two Assistant Personal Assistants in the division of DMEC.
Post 1 - 37.5hours
Post 2- 32hours
The post holders will be expected to work their hours over 5 days. The preferred model would be core office hours between 8am and 5pm.
To support the achievement of Referral to Treatment (RTT) target through validation of the referral to treatment PTL(s).
To support the work of 18 week RTT tracking with the monitoring and delivery of national waiting time targets.
To be responsible for escalating the potential of any 'breach' of the RTT standard and to ensure that any potential breaches are escalated to the service management team.
To support the PA's / APA's within a variety of teams in the division with the possibility of moving desks as and when required to provide full support within the required areas.
Main duties of the job
This role will provide administrative support to the division of DMEC, managing patients in line with Trust Access Policy.
The post holder will provide a comprehensive, quality, and confidential secretarial/administrative service to the Consultant/clinical professional teams.
Sound knowledge of medical terminology as well as excellent word processing and audio typing skills are essential.
The Assistant PA will be expected to organise their workload, therefore, good time management skills and an ability to prioritise and co-ordinate their activities is essential.
The ability to communicate well with people at all levels is important; the post-holder will be expected to use his/her initiative.
The post holder will be capable of the full administrative function within the team, and be able to step-in to fill gaps, to ensure continuity of services. It is essential that the post holder is able to exercise initiative suitable to the role, and is fully supportive to other colleagues in the administrative team.
We are looking for someone with previous office experience, exceptional organisational skills and the ability to prioritise their own work load. A good understanding of medical terminology and NHS experience would be advantageous for this role. In-house training will be offered to enable the successful candidate to work effectively within the administrative team.

- To liaise with medical secretaries and appointments staff to ensure that accurate information is obtained and recorded.
- To assist in the delivery of 18 Weeks by using own initiative to interpret and apply judgements to patient pathways to ensure compliance with national 18 Week guidance.
- To have the autonomy to investigate and proactively manage patient pathways in liaison with the service managers to ensure patients are treated within the national 18 Week target.
- To plan and organise own work load, demonstrating good time management and ensuring anticipated difficulties in meeting deadlines are reported promptly.
- To support different departments within the division as and when required.
GOVERNANCE
- Maintain systems and processes to establish and maintain effective communication, and confidentiality of information,
- Assist with the maintenance of systems and processes to continually monitor standards, e.g. benchmarking, audit, and implement action plans to improve quality of services,
- Contribute to the development and implementation of policies, procedures and guidelines related to own service,
- Ensure compliance with Trust policies, procedures and guidelines, taking action/alerting senior management team if practice appears to contravene policy, or if concerned about any aspect of patient care.
