Job summary

An exciting opportunity has arisen for a Stock/Procurement Co-ordinator to join Liverpool Heart and Chest Hospitals busy Theatre Department. The role will focus primarily on the receiving and distribution of stock within the theatre department, but will also include some administration duties.

You will assist the Theatre management team in maintaining the efficient supply of equipment and goods to the theatre department, as well as some general administration duties.

The successful candidate will be enthusiastic, highly motivated and have a willingness to learn new skills; You must be able to work well under pressure and have past experience of working with stock/procurement. You will be able to effectively prioritise your own workload within set timescales and be confident to work alone or as part of a team.

Main duties of the job

Responsibility for maintaining the efficient supply of equipment and goods to the Theatre department.

Responsibility for tracking equipment within the department and ensuring that this equipment is fit for purpose and available at the point of care.

Liaising with Supplies team and sales representatives to ensure that all products are received and paid for in a manner which limits discrepancies.

Support the Theatre management team and Finance department in ensuring all financial transactions are recorded accurately.

General Admin duties to support the Theatre management team

Support the Business Manager and Operational Support manager in keeping accurate records on the ICS patient theatre management module

JOB SUMMARY

The post holder will be responsible for maintaining the efficient supply of equipment and goods to the Theatre department.

The post holder will be responsible for tracking equipment within the department and will ensure that this equipment is fit for purpose and available at the point of care.

The postholder will be responsible for liaison with Supplies team and sales representatives to ensure that all products are received and paid for in a manner which limits discrepancies.

The postholder will work closely with the Business Manager, Operational Support Manager and Finance department to ensure all financial transactions are recorded accurately.

General Admin duties to support the Theatre management team

The postholder will support the Business Manager and Operational Support manager in keeping accurate records on the ICS theatre management module

PRINCIPAL ACCOUNTABILITIES

MANAGERIAL/LEADERSHIP

Management of stock systems / databases to ensure adequate stock levels are maintained for theatre.

Act as central point of contact for all stock enquiries. Demonstrating robust communication skills and the ability to liaise with all multidisciplinary team members and other departments.

ORGANISATIONAL

Deal with all internal and external stock / goods enquiries.

To liaise with the Theatre management team and supplies team regarding products and lead times

Perform regular stock checks and adjust par levels of stock in line with theatre demand. Ensuring Omnicell database accurately reflects current stock quantities on hand.

Raising orders via SBS procurement for any high cost items.

Controlling consignment stock (new stock, re-calls and returns etc).

Negotiate prices / quantities in conjunction with with Business Manager and Supplies Team.

To assist as necessary with the order of equipment from suppliers.

Liaise with supply companies to ensure the efficient supply of medical goods.

Co-ordinate and plan with supplies quantities and sizes to be held on consignment.

Investigate internal and external enquiries regarding stock and report back promptly.

Report any problems with computerised stock system to the IT department.

Deal with requests to source and obtain specialised products.

Liaise with other Trusts for the loan of products when required.

Keep accurate recordings of theatre activity on the ICS theatre module.

General administration duties such on-call rotas, healthroster.

QUALITY

Access trust systems such as SBS supply chain reports / SBS usage / Omnicell database.

Work in collaboration with Trust Procurement / Theatre management team to ensure theatre is receiving best cost of consumables (directly or via NHS Supply chain). Make suggestions that will contribute towards unit Cost Improvement Programme.

Maintain stock inventory for Theatre.

Collect and collate purchasing information.

Ensure efficiency of the service by maintaining accurate spreadsheets in order to ensure correct payment of goods.

Arrange for returns of unwanted goods in accordance with clinical preference.

Attendance at stock meetings as required.
