Job summary

The Medicine Directorate are looking to appointment a medical secretary to work as part of the Heart Rhythm team, here at LHCH.

This post is a fixed term contract for 12 months full time, to cover maternity leave.

The successful post holder will ensure the provision of a comprehensive post holder to Consultant Cardiologists. They will organise, plan and prioritise tasks and their workload.

Applicants should have advanced key board skills with a typing qualification, and experience in audiotyping. You must be able to work flexibly and have good organisational and time management skills.

The post holder will also need to have good communication skills and be able to work with staff at all levels.

Main duties of the job

To provide a comprehensive secretarial/personal assistant role to a Consultant Cardiologist

To manage the Consultant's diary, and process leave amending clinics and operation lists as necessary

Audio-typing of referral letters

Dealing with patient queries by telphone, email etc

Book follow up appointments using the follow up waiting list and ensuring all clinic, and in-patient list capacity is used efficiently.

Managing the Consultant's RTT caseload

Validating and actioning data quality lists.

Taking minutes when necessary.

Job responsibilities

Patient experience

  • Coordinating audio-typing of clinical and non-clinical correspondence within the service line and within set timescales.
  • Close monitoring of patient pathways, ensuring patients are admitted in accordance with 18 week RTT targets
  • Contributing to the achievement of patient access targets through validation of patient pathways, bringing issues to the attention of clinical and or management teams, and identifying delays in the patient journey.
  • Ensuring patient access policy is adhered to
  • Coordinating tests and investigations requested by the Consultant and junior medical staff and ensure they are reviewed in a timely manner and in accordance with communicated KPIs
  • Escalating capacity issues to Operational Support Manager/SLM
  • Maintaining the confidentiality of patient information at all times.

Team working

  • Coordinating cover for clinics, theatres, cath lab and pacing theatre sessions in times of Consultant leave
  • Monitoring workload priorities within the service line and coordinating the work of the support staff as appropriate
  • Demonstrating own duties to new administrative and clerical staff.
  • Coordinating cover of duties between colleagues across the service line during periods of holiday and / or sickness
  • Communication

    • Communicating with patients and patient relatives over the telephone, responding to their queries in a caring, sensitive and reassuring manner. Use initiative when dealing with and resolving patient enquiries, escalating as appropriate.
    • Providing information to the management team when requested and use initiative to escalate any issues as appropriate.
    • Communicating with other Hospitals and external agencies
    • Setting up and maintaining e-mail groups, will be expected to use Intranet and Internet.
    • Providing information to staff in other departments.

    Data Management

    • Administration of waiting lists for elective procedures, organising pre-op appointments and admissions
    • Using Waiting List functionality on PAS
    • Planning and scheduling theatre/cath lab lists, according to patients clinical priority and length of wait
    • Recording all information as required on PAS including amendments
