Team Administrator - Palliative Care and Oncology Service

Job summary

We are looking for a driven individual to join our busy Palliative, End of Life and Oncology Department, which sits within our Unplanned Care Division. This role would work as part of a team across all 3 specialities.

The post holder will provide comprehensive secretarial support to the team, which includes consultants, junior doctors, and nursing staff, amongst others. The post holder will need to be flexible, have a confident telephone manner, and possess good typing and organisational skills. Confidentiality and discretion within this post is essential.

Main duties of the job

To provide administrative support, which will include:

  • Knowledge of secretarial procedures and systems;
  • Producing clinic letters from Accesstek system and filing them in medical records;
  • Collating and mailing letters;
  • Receive, make and resolve telephone enquiries from patients and healthcare professionals, inside and outside the hospital. Passing on messages to the appropriate person;
  • Retrieve patient records and ensure that they are maintained and kept up to date, sort and file all results, reports and correspondence (in accordance with the Health Records Policy and procedures);
  • Receive and process all patient referrals within Trust guidelines;
  • Use the patient management system (ICS) to find patient details and check patient appointments;
  • To be conversant with the relevant IT systems and packages and, where necessary, create and maintain spreadsheets and databases, ensuring accurate data entry.
