Job summary
The Medical Education Department provides education, training and support to Postgraduate Doctors working across The Hillingdon Hospitals sites and associated GP practices. The post holder will support the education team to support services for trainee doctors.
Main duties of the job
The post holder will work as part of the Medical Education Team, providing a range of administrative support for Doctors in Training and users of the centre. Working with the Medical Education Team ensure that Junior Doctor Postgraduate Medical Education is administered within the guidelines of the various Curriculums and Health Education England's guidelines to a high standard.

OPERATIONALRESPONSIBILITIES
- To provide GPVTS (GP Training Vocational Scheme) Programme Directors, with administrative support to assist them in planning and organising efficient training programme.
- Manage all administrative details of the half-day release teaching programme including liaising with speakers/presenters, preparation of the IT for speakers, refreshments, and attendance records.
- Prepare teaching certificates and send out to presenters with feedback.
- In liaison with PDs, book and confirm speakers and events/venues for the half release programme, away days and welcome events.
- Attend events as appropriate and meets with PDs and workshop convener as needed.
- Maintain trainee allocation spreadsheet and confirm trainee supervisor allocations. Inform trainees and trainers regarding placement allocation.
- Update and maintain Hillingdon GP trainer's list
- Collect feedback from trainees for events (e.g. send out google forms andsave on Teams).
- The post holder is expected to develop relationship with medical trainees in order to best support their needs. All information relating to trainees to be treated with the strictest of confidence.
- Responsible for coordinating the Medical Induction for all junior doctors new to the Trust and ensure that trainees and managers of departments are familiar with the requirements for local induction
- Work collaboratively with programme leads to design the structure of the programmes including options for face-to-face and virtual as necessary
- Build key relationships with the Trusts specialist advisors, trainers and speakers on training issues.
- Be able to use problem solving skills when short notice changes to programmes occur.
- Be able to deal with difficult and sensitive situations in a calm and professional.
- Send information to trainees regarding induction programmes in a timely and efficient manner
- Liaise with department leads such as manual handling and resus to arrange sessions and take bookings for sessions as part of mandatory induction requirements
- Create and merge iDevelop (learning management system) accounts to enable doctors to complete statutory and mandatory training
- Work with the learning and development team to monitor statutory and mandatory training compliance.

- Excellent and previous experience of clerical work / Excellent communication skills - both written and verbal

- Excellent organisational and time management skills / Able to work effectively under pressure whilst maintaining good attention to detail.
