Job summary

This is a 22.5 hour job share post.

The Endoscopy Waiting List Coordinator will be responsible for the daily administration of the defined waiting lists and will liaise closely with clinicians, line managers and the operational management team. The post holder will be required to have a full understanding of and adherence to the Trust's Access policy and will implement changes to working practices in line with national access targets and local service requirements.

This will be done by booking procedures andremoving patients from the list if appropriate and booking next events.o The post holder will be responsible for communicating with patients and their relativesto book their appointments and admission details both verbally and in writing.o Arrange transport (in line with trust procedure) and translation services wherenecessary.o To inform the Service Manager / General Manager of areas where performance is suboptimal and make suggestions as to remedial action plans.

WAITING LIST MANAGEMENT

The post holder will be responsible for managing the three endoscopy waiting lists; active, planned and surveillance. This will be done by booking procedures and removing patients from the list if appropriate

The post holder will be responsible for communicating with patients and their relatives to book their appointments and admission details both verbally and in writing

Arrange transport (in line with trust procedure) and translation services where necessary

To inform the Service Manager / General Manager of areas where performance is sub- optimal and make suggestions as to remedial action plans

DATA QUALITY

The post holder will be responsible for data quality and activity recording

Active participation in decisions about local configuration of the patient management system and systems for recording of endoscopy data including co-ordination of the change processes within the department as required

Review, agree and sign off the change process plans that affect their area of expertise

CLINICAL GOVERNANCE

To actively contribute to the incident investigation and reporting process and the complaints process

Ensure the application of the Data Protection Act and Freedom of Information Act by training of staff and clear guidance

Ensure the Health and Safety of all staff by appropriate risk assessment and training

Audit existing access processes and policies and amend as required, in consultation with other key stakeholders to ensure on-going compliance and accurate data quality. To actively contribute to the incident investigation and reporting process and the complaints process

Ensure the application of the Data Protection Act and Freedom of Information Act by training of staff and clear guidance

Audit existing access processes and policies and amend as required, in consultation with other key stakeholders to ensure on-going compliance and accurate data quality

PROFESSIONAL AND PERSONAL DEVELOPMENT

Attend mandatory training required for administrative staff as outlined in the Trust Mandatory Training Framework and any training where updating of skills/knowledge is required.

Be proficient in the use of all electronic systems in relation to patient data and undertake training as required if new technology/electronic systems are introduced, to ensure competencies are maintained and efficiencies of the administrative processes maximised.

Participate in yearly staff appraisal, identifying professional development objectives and learning requirements.
