Job summary

  1. Provide day to day management to a team of Administration Assistants and Administration Coordinators, including handling of informal disciplinary, grievances, performance issues and sickness management.
  2. Clinic management - Add, cancel and block clinics for annual and study leave, ensuring that Trust targets are not Add ad-hoc clinics/clinic slots as required.
  3. Allocate work to the administration team, taking into account department priorities and using judgement to delegate work
  4. Ensure adequate cover across the department, through effective rota management and leave
  5. Ensure all patients receive the best and most appropriate treatment, tailored to the individual, for their illness in a timely manner and delivered by the most appropriate
  6. Responsible for the induction and on-going development of a team of administrators, taking responsibility for identifying training needs within the administration team in regards to data entry and pathway/waiting list management and acting upon

Main duties of the job

  1. Communicate complex or sensitive information clearly, effectively and appropriately with the multidisciplinary team, patients and their family, visitors or carers, and other clinicians involved in the care of the patient, g. General Practitioners.
  2. Role model excellent customer service skills to the wider administrative
  3. Provide patients with information about appointments or non-clinical advice and guidance regarding their
  4. Plays a key role in ensuring the patient pathway is co-ordinated in a smooth, timely manner.

Job description

Job responsibilities

  1. Ensure that all clinics are outcomed correctly within the 24 hour
  2. Experience in NHS patient pathways.
  3. Ensure patient demographic data is correct and updated if necessary, checking this at every patient interaction and supporting the administrative team to routinely do the
  4. Ensure accurate and timely data capture, for all routine and urgent
  5. Complete all validations for non-admitted/admitted patients in a timely fashion to ensure appropriate activity is captured in order to ensure income
  6. Proactively identify and follow up on key data items or outcomes that are absent or
  7. Use information systems to extract data to populate reporting templates as required, and in accordance with reporting
  8. Administer and maintain all relevant hospital information
  9. Maintain local department databases or logs to enable services to track status or performance in a required area, g. complaint responses.
  10. Identify potential delays or issues with a patient pathway or potential breaches, and take preventative steps to avoid
  11. Manage the outpatient waiting list, ensuring escalations are provided appointments within breach.
  12. Lead and take part in PTL meetings
  13. Manage slot utilisation and ensure all slots are being fully utilised.

  • Degree or equivalent relevant experience
  • Courses / further study attendedto demonstrate evidence of personal development
  • Strong working knowledge and proficient in the use of Outlook package - Power point, Excel, Microsoft Word as well as Access, Somerset, CIP and Cancer Alliance.
  • Experience of Partnership working.

Desirable

  • Knowledge of medical terminology.
  • Highly developed skills in: Project leadership, Problem solving & Data analysis.
