Job summary
To provide an efficient administrative and clerical support service in line with service requirements. As an important link between clinical staff, patients and managers, the post holder will be expected to project a positive and helpful image at all times.
To work as part of a team alongside other clerical staff and Clinicians within the department and to deliver a high quality service to other staff and patients.
Create a safe, friendly and caring environment, where people are treated with respect, courtesy and dignity.
Main duties of the job
- Answer incoming calls, form the public, patients and any other health professionals in a responsive and sensitive manner.
- Scheduling Clinics for Podiatry appointments, which incorporates booking and cancelling appointments.
- To receive and upload information/referrals, both verbal and written from patients, GP's, carers and staff which require tact and sensitivity
- To ensure all messages given verbally, written or by telephone are passed on to the correctly and within an agreed timescale
- To operate a desktop PC and have a good working knowledge of the Trust's "Rio" System
- Receive incoming post, emails, photocopying and collating document as required
- To carry out ordering and take stock of team stationary and other items
- Take responsibility for reporting issues/ concerns with IT systems and DATIX as appropriate
- Undertake additional duties where appropriate as requested by the team/service line. To plan and coordinate your workload to ensure all deadlines are met and objective achieved
- To maintain good standards of professionalism
- They will be expected to use their own initiative to manage correspondence, deal with enquiries, issue of information on behalf of departmental heads as required, and ensuring messages are communicated to relevant staff in a suitable and timely manner.
