Job summary

The post holder will be responsible for providing comprehensive day to day administration and business support services specifically to the Estates and Facilities Managers, Deputy Director and Director of Estates and Facilities; providing additional business support to other estates and facilities managers and their teams on request, pertaining to the Barnet Hospital site.

Assists the Estates and Facilities Managers carry out their duties to ensure that the Royal Free London NHS Foundation Trust and its users are provided with a cost effective Estates and Facilities operations service that delivers patient focused services of the required quality and a service that is flexible to meet service needs and the demands of the organisation.

Act as first point of contact for the Estates and Facilities team, receiving Trust staff requests and external calls exercising sound judgement in prioritising their level of importance and urgency. Managing and directing calls for action and response by member of the team.

Provide administrative support to include diary/appointments management, travel arrangements, meeting arrangements, and key stakeholder liaison; keep track of work deadlines, preparing papers (proofing, formatting, editing) and sending out mailings

Main duties of the job

Face to face verbal, daily email, daily letters and correspondence, telephone calls, meetings, seminars and other events.

Reporting to the Estates and Facilities Managers for day to day matters and the Deputy Director of Estates and Facilities (Property Services) professionally, the role is accountable to the Director of estates and facilities (Barnet and North Middlesex).

Close liaison will be required with the following;

  • Facilities manager
  • Estates manager
  • Administration team
  • Fire advisors
  • Infection control team
  • Other trust managers and teams (HR, Finance, Planning, Risk)
  • Heads of service
  • Trust staff at all levels
  • Procurement Partners Service (PPS)
  • Directors of property services limited
  • External contractors, consultants, etc.
  • Professional contacts in other NHS trusts
  • Professional contacts in other partner organisations
  • Staff and staff side reps
  • Incumbent service providers
