We are looking for a dynamic Outpatient & Reception Supervisor to support the Junior Service Manager in the day-to-day operational management of the busy Ophthalmology Outpatient service at Southend Hospital.
This will include ensuring that outpatient clinics are fully utilized, to line manage the outpatient and reception teams, ensuring that their workload is managed appropriately and completed to a high standard. To ensure that appraisals, leave and performance is consistently managed across the team
Main duties of the job
To supervise the Outpatient and Reception Teams.
To be the contact point for all administrative queries relating to the day to day running of the administration areas within the outpatient team.
Supervise administrative processes of the Outpatient service.
Supervise the planning and prioritization of outpatient administrative tasks.
Supervise team members and tasks in reception and administrative functions in a range of outpatient settings as required.
Co-ordinate and supervise the failsafe processes, supporting the Junior Service Manager in providing accurate reports and ensuring patients are treated in the dedicated services and within relevant timelines.
To ensure that the directorate's elective capacity is fully utilized.
To ensure that clear booking processes are in place and are adhered to at all times.
Ensure that hospital cancellations of patients' appointments and/or treatment is minimized through good planning.
Support the Junior service manager in ensuring that all the directorate's key performance indicators and local and national targets are achieved.
Act as a point of escalation during the day for problems arising.
Resolve issues or escalate to Junior senior manager.
Ensure that the office and reception area is tidy and presents a welcoming and professional image of the department to other staff and visitors.
