Job summary

The Apprentice will be undertaking a training programme within the Bradford Teaching Hospitals NHS Foundation Trust. Training will be delivered through time spent completing administrative duties under supervision, as well as dedicated study time to attend the required education sessions. The Apprentice will commit to undertake the training and education required for the role, and successfully complete all components of the training programme within the contract period (12-18 months). This will include completion of Diploma Level 2 in Business Administration.

Working under supervision; the apprentice will be responsible for the provision of administrative and clerical support to the Human Resources Team, and in particular, to provide support to the Recruitment & Selection Process.

The apprentice will be based mainly on the HR Department reception, receiving visitors to the department and completing document checks for job applicants.

The apprentice will be expected to undertake a variety of other administrative tasks such as sorting and filing documents and correspondence in Trust staff personnel files, dealing with telephone and e-mail enquiries, and the completion of Employment Certificates/ standard letters.

The apprentice will be expected to provide support to the Medical HR team during peak periods.

Main duties of the job

  • Receipt, date stamping and distribution of mail.
  • Maintain filing systems, e.g. for new/ existing staff and leavers.
  • Deal with telephone, e-mail and face-to face enquiries, responding where appropriate, or passing on to the relevant member of the team.
  • Staff the HR Department Reception; signposting visitors, etc.
  • Verification and copying of Identity, Right to Work Documentation and Certificates etc. for new starters or existing staff required to undergo Checks (with support from the HR Advisers as necessary).
  • Access the TRAC recruitment system; responding to simple queries and confirming interview attendance.
  • Support the HR Team in any ad hoc administrative tasks (e.g. Photocopying, large print tasks)
  • Occasional Word Processing and simple Excel Spread sheets.
  • Input data into the ESR system.
  • Provide routine reports from ESR; in particular Starters and Leavers reports for other Trust departments, using MS Windows tools to process the data for presentation.
  • Process ad-hoc enquires for Workforce Information. Deal with enquiries from employees regarding Workforce and sickness data as appropriate.
  • Liaise with payroll, managers and HR to resolve data queries and to rectify errors as appropriate
  • Ensure data is handled confidentially, securely and in accordance with current United Kingdom Data legislation.
