We are looking to recruit a Band 2 fixed term Podiatry Admin Assistant for 19.25 hour per week for 9 months (we would also consider 14.44 hours per week over a 12 month period). This is to cover one of our team who is on maternity leave.

We are looking for an organized and flexible admin assistant to provide administrative support for the podiatry department both within the Podiatry Access Hub and at various South Devon-wide locations.

Skills, knowledge and experience required:

  • Ability to deal with patients and visitors using tact, good humour and efficiency
  • Ability to work under pressure and to deadlines
  • To complete work with accuracy and speed
  • Pleasant and sympathetic telephone manner
  • Ability to work on own initiative and as part of a team
  • Audio-typing skills

Applications are invited for Admin Assistants to help deliver support to clinicians as part of a growing wound management service for diabetic patients.

Main duties of the job

  • To be able to work as part of the reception and admin hub team as required and rota'd.
  • To meet and greet patients on arrival and record their attendance - this may require tact and empathy in dealing with matters of a sensitive nature or with verbal aggression.
  • To register patients on computer system in accordance with Trust Policy
  • Ensure all necessary records are available and prepared appropriately
  • To ensure the systems of managing appointments for patients who have failed to attend (DNA's) are in accordance with the DNA policy.
  • To book patient appointments in line with the trust Patient Access Policy and local guidelines.
  • To use the ICS Booking system and other trust systems appropriately.
  • Answer the main podiatry telephone line in an efficient manner and ensure appropriate follow through using initiative to deal with routine enquiries.
  • Dealing with patients and parents/carers who may have significant medical problems
  • To take responsibility for the pod appts email and ensure that requests are followed.
  • To adhere to the Trust's policy on confidentiality.
  • To be aware and update knowledge of hospital policies and procedures from the Trusts intranet.
  • To be responsible for own knowledge of the Trust's and Departmental Health & Safety Policy and Risk Register.
  • Any other clerical duties which may be necessary

The Department is focused on providing the highest standard of care to our patients and using innovation to improve care, such as the use of VR headsets in nail surgery and development of a diabetic foot app.
