Job summary

An opportunity has arisen within the Pharmacy Department for an administrative assistant who will be responsible for a variety of general clerical duties and will supervise the work of one other member of staff.

The successful candidate must have the ability to work independently and prioritize effectively in this busy working environment.

Main duties of the job

To lead in supervision of general clerical and administrative support to the whole department.

Ensure effective processing of invoices arising from the purchase of pharmaceuticals.

Provide day to day supervision of the Invoice Clerk.

Ensure accurate electronic record keeping of staff overtime, sickness and annual leave.

The Inpatient Pharmacy is based at Torbay Hosptial and provides medicines for patients across the site and beyond.

Job description

Job responsibilities

Provide day-to-day supervision of the Invoice Clerk, including allocation of work, review of performance and progress, and ensuring the effective provision of job-related training

Provide general administrative support to all pharmacy staff

Liaise with the Cashiers Office and, if necessary, A+E about issues relating to prescription payments, and contact patients by post to pursue unpaid prescription charges. Receive and manage subsequent queries and complaints from patients and their representatives where there may be disputes over charges

Liaise with Goods Inward Supervisor, Purchasing Technician, Distribution Manager and external manufacturers to ensure effective and efficient purchasing and clearing of invoice payments

Process departmental outgoing and ingoing mail and telephone calls, efficiently and effectively

Liaise with Finance Department regarding issues relating to invoicing / payments

Planning and Organisation

Organise and maintain departmental records and files including leave, sickness absence, overtime and staff personal files in accordance with existing procedures

Maintain accurate records of all necessary details of medicines and other pharmacy-supplied items ordered via the pharmacy. Organise and maintain systems for store-related paperwork (filing, archiving and destruction)

Ensure accurate purchase records of unlicensed pharmaceuticals are maintained and in good order

Support the process for induction of all new staff, including arranging supply of identification / security badges, and allocation of keys, personal lockers and uniform

Achieve objectives agreed at Personal Management and Development Review in order to contribute effectively to the provision of pharmacy services that are continuously improved, and to ensure continuous personal and professional development. Actively liaise with all relevant staff to ensure objectives in all key areas are achieved

Qualifications and experience

Essential

  • GCSE or equivalent in Maths and English grade C or above, and in other subjects
  • Specialist IT training; advanced ECDL qualification or equivalent
  • RSA Stage II or equivalent training
  • Ability to demonstrate understanding of applications of Microsoft Office, especially Excel, where reports may be compiled and formatted, and Trust e-mail / Outlook
  • Detailed understanding of secretarial and office procedures; able to provide general administrative and clerical support for the Pharmacy Department
  • Some experience of being in an administrative / secretarial role

  • Additional qualifications to NVQ level 3 or equivalent experience
  • Practical knowledge and experience of computerised invoice processing
  • Experience working within the NHS
