Job summary

The Retrieve Adult Critical Care Transfer Service delivers adult critical care transfers across the South West. Commissioned by NHS England South West Specialised Commissioning, hosted by University Hospitals Bristol and Weston NHS Foundation Trust and supported by the South West Critical Care Network, it serves the Acute NHS Trusts within the region.

Retrieve provides a single point of contact for all adult critical care transfer referrals 24 hours a day via a dedicated 0300 number. Retrieve operate a dedicated transfer team from each of its operational bases - one in Launceston, Cornwall, covering the Peninsula sub-region (Devon and Cornwall) and one in Bristol covering the Severn sub-region (Gloucestershire to Somerset).

The administrator will provide comprehensive administrative services and secretarial support to the Retrieve Service (see Organisational Chart). The role incorporates a wide range of duties underpinned by an understanding of the SWCCN and the service Retrieve provides to its patients and stakeholders. As a core member of the team, you will be expected to be proactive and take the initiative both individually and as part of the team. The post holder should have the ability to communicate and liaise with a broad range of contacts and to work under pressure to meet service deadline requirements

Main duties of the job

Main Duties and Responsibilities

Communication

  • Act as the main point of contact for non-clinical enquiries and visitors to the Retrieve bases
  • Manage enquiries from both internal and external sources, which may be complex or involve confidential and or sensitive information. This entails using initiative and judgement to ensure conversations are handled in the most appropriate and professional manner.
  • Ensure information / messages are appropriately passed to the relevant staff / stakeholders and any urgent matters escalated promptly. Initiate follow up as necessary, identify appropriate action and record accordingly.
  • The post-holder will need a friendly and approachable face-to-face and telephone manner and have excellent written communication skills.
  • Collaborate with other administrative staff in times of sickness or annual leave to ensure service delivery continues, as discussed and agreed with the Retrieve support manager and General Manager.

Service Support

  • Work with the Support manager and Base Lead Nurses to support the day to day operations within each base to ensure an effective service.
  • Support the Base Lead Nurses with clinical team rota management.
