Main duties of the job

Receive all visitors to the department in a timely and polite way. Comply with all areas of data collection that will support the departments information needs both internally and externally.

Keep visitors/patients informed of any undue delays that may occur. Direct patients/visitors to areas appropriate to their needs in accordance with their needs in accordance with agreed protocols.

Answer and deal with all incoming telephone enquiries, ensuring relevant information is obtained, clear messages taken and written down only disclosing information that complies with the Data Protection Act. Make outgoing telephone calls as instructed to ensure the department runs smoothly. Bleep on-call managers, doctors and colleagues as requested.

Utilise keyboard (typing and/or data-entry) skills to accurately produce Word, Excel and PowerPoint documents, spreadsheets and presentations as requested. Use other Trust computer systems (subject to training first) and data-bases to accurately record and maintain data. Ensure documents produced are clearly electronically filed and copied as necessary in accordance with ward/department guidelines.

Ensure relevant paperwork and filing is accurately kept up to date. Ensure retrieval and availability of these records as and when required. Photocopy documents as required and requested.
