Job summary

To provide high quality administrative support to the Nuclear Medicine Dept. Participate in a wide range of activities to ensure the smooth operation and delivery of an excellent outpatient appointment service. Ensuring that the Trust is able to meet its service requirements and national operational targets. To carry out required administration and coordination tasks, organise and run regular meetings for the admin team. To be the point of contact between different sections of the Nuclear Medicine service, such as Therapy, Diagnostics and Administration but will also include being the liaison between other hospital departments and colleague. The post holder must have or develop knowledge and understand how operational capacity relates to the appointments being booked. Supply administrative support for the maintenance of the Nuclear Medicine Quality Management System.

Main duties of the job

This position is part of the team specifically supporting Nuclear Medicine services. The main responsibilities are:

  1. To receive and record Nuclear Medicine referrals.
  2. To book and reschedule sometimes complex patient appointments for all NHS and private patients.
  3. Demonstrate proficient keyboard and computer skills
  4. Manage data in Excel spreadsheets and reports in other office platforms
  5. Keep records and reports up to date
  6. Ability to communicate and deal with all enquiries from staff, referring practitioners, patients and other health service organisations in a timely manner.
  7. Prepare monthly KPI reports for the managers including any ad-hoc reports required.
  8. To help organise and run meetings at Administration, Imaging or Departmental level.
  9. To be the point of contact between the department and external bodies, such as the implementation of Electronic Patient Records, regarding the effectiveness of Service delivery.
  1. The post holder should have the ability to manage and prioritise their workload whilst being able to work under pressure, and have the ability to communicate with staff at all levels.
  2. Training will be provided to support the administrative maintenance of the Quality Management System (QMS) and support the department to achieve MPACE accreditation.

A permanent, part-time vacancy has arisen for a Band 4 Administrator in Nuclear Medicine Physics, based at the Royal Surrey County Hospital in Guildford. The post is offered at 0.6WTE (3 days per week).

You will be providing administrative support to our team of 12 dynamic and friendly physicists who provide scientific support to the Royal Surrey County Hospital, five regional Nuclear Medicine Departments and a number of private clients. At the Royal Surrey the Physics team provides scientific support to the Nuclear Medicine diagnostic imaging service, as well as running a comprehensive and busy Molecular Radiotherapy clinical service. We also provide Medical Physics services other local NHS Trusts and private providers of diagnostic imaging and Molecular Radiotherapy locally through external contracts.

The successful candidate will be enthusiastic, professional and have a high attention to detail. You will bring a diverse range of skills to help manage complex patient therapy pathways, which will include making patient appointment bookings, coordinating staff availability for procedures, and liaising with other departments involved in the pathway. You will also provide administrative support to our commercial contracts. You will have a flexible approach to your duties, the ability to work both as part of the wider multi-disciplinary team, and be able to work independently, prioritising your work in a busy clinical environment.
