Job summary

We are looking for an enthusiastic, committed and hardworking person to join Failsafe officer- Ophthalmology. This environment will provide successful candidates with opportunities to develop new skills and knowledge in a busy, acute medical ward. Motivated candidates will be supported to work with the clinical team providing clerical support to the medical staff. Main duties will be to answer the telephone and carry out general reception duties and book appointments in a timely manner

Suitable candidates will ideally have: Excellent communication skills o friendly and hardworking with excellent IT skills

Main duties of the job

The role of the Failsafe Officer is essential to safeguard Diabetic Eye ScreeningProgramme (DESP) patients as they move through the complex diabetic eye screeningprogramme care pathway, escalating concerns or omissions to local DESP managers inaccordance with policies and procedures.

The post holder is directly responsible for delivering high quality data from audits, listvalidations and liaising with multiple stakeholders. Following policies and procedures andregularly audit for compliance.

Job description

Job responsibilities

1. Deliver high quality data from carrying out regular audits. Assisting in collection ofdata used within the department to indicate performance against local commissioningtargets and KPIs.2. Ensure communication channels between DESP and Hospital Eye Services and KeyStakeholders remain clear, to ensure that all patients are in the correct pathway,supported by systematic auditing and tracking.3. Accountable for liaising with Hospital Eye Services to ensure patients referredreceive an initial appointment within NDESP criteria and track their status ensuringthey return to the care of the DESP on discharge from the Hospital Eye Services.4. Responsible for monitoring waiting times for the Hospital Eye Service assessmentand treatment pathway, escalating and potential breaches to the Failsafe TeamLeader.5. Regularly review patient cohort to ensure all patients are accounted for and regularlyaudited (including but not limited to: Opted out, medically unfit, not diabetic,pregnant). This will include liaising with stakeholders involved with patient care, forexample: GPs, practice nurses and administrative teams, diabetologists,obstetricians and paediatricians.6. Support the administration team with queries, as well as telephone support forpatients who require information regarding their appointments. Booking,rearrangement and cancellation of appointments in accordance with programmerequirements.7. Monitor various Hospital Eye softwares to ensure that all referred patients are seenwithin the NDESP recommended timescales. Collecting data on patient appointmentsto update internal softwares with accurate information. Recalling patients to DESPwhere appropriate.8. Maintain validating of the software and cleansing the single collated list. Requiring anexcellent level of attention to detail.9. Analyse and validate regular spreadsheets sent to DESP via Hospital Eye Servicesfor upload to internal software.

Qualifications

Essential

  • Minimum of 4 GCSE's - Grades A to C in English and Maths or equivalent qualification.
  • NVQ 2 in Office Administration or equivalent

Knowledge and Experience
