Job summary

We have an exciting opportunity for an Recruitment Assistant with excellent interpersonal skills to provide support to the Trusts Recruitment team. You will deliver a professional service and provide a high standard of administrative support to the team whilst taking responsibility for providing telephone cover in a busy office.

As the first point of contact for front-of-house transactions our ideal candidate will have excellent communication skills, an eye for detail and the ability to multi-task, work to tight deadlines and prioritise a varied workload effectively.

You will be part of a supportive and proactive team who are responsible for administering our end-to-end recruitment process from advertising vacancies through to carrying out pre-employment checks and issuing employment contracts. There will also be opportunity for you to use your initiative within the role.

Previous experience in the use of Microsoft Office applications is essential, but full training on all other systems and processes will be given

Main duties of the job

Based within the busy, fast paced Recruitment Team, the post holder will work closely with and support our team of Recruitment Officer/s and Managers, who ensure that an effective and efficient general recruitment service is provided to the Trust. The post holder will deal with a wide range of administrative tasks to complete as well as liaising with candidates, managers and colleagues, the role will require both face-to-face and over the phone contact.

Job responsibilities

Provide the highest level of customer service at all times to client organisations, staff and members of the public.

Working under the supervision and guidance of the Non-Medical Recruitment Team Leader, undertake routine administrative support of the recruitment process e.g., manage email correspondence concerning the recruitment to vacancies across the trust.

Issue reference requests in accordance with NHS Employment Check Standards and instigate follow up chaser programme (via email) where needed.

To act as the first point of contact for visitors/applicants when visiting the department, callers contacting the department by phone & forwarding them to the appropriate Recruitment Officer.

To provide administrative support to the Team Leaders & Senior Manager where required.

Provide an element of cover for the Recruitment Officers, assisting in ID related pre-employment checks, as and when required to meet the needs of the service.

Respond to routine and general recruitment queries from both internal and external customers.

Extract basic information from ESR when responding to general ad hoc queries raised by service users and staff.

Record and update information on a variety of systems.

Record and archive closed vacancies.

Sort and distribute incoming mail. Dispatch of outgoing mail.

Monitor and maintain a schedule for the shredding of confidential waste.

Maintain Alert Letter register.

Ensure that confidentiality is maintained at all times.

Carry out general administrative tasks e.g., photocopying, filing, shredding and ordering stationery supplies for the service.

Undertake all tasks to agreed quality standards and in line with departmental procedures, protocols, and best practice.

Make recommendations to improve processes within own area of responsibility.
