Job summary
The Service User Network (SUN) is a service offering peer support groups across Kent and Medway run by KMPT and MIND. We are seeking a highly motivated and organised individual to join our team as a permanent, part time (33 hours per week) Administrator.
This role offers the opportunity to provide crucial administrative support to mental health clinicians and lived experience facilitators. You will be an integral part of a creative, enthusiastic and supportive team, with opportunities to be involved in a range of meetings and projects.
We are looking for someone who is enthusiastic and empathic, with a professional approach, and the capacity to work flexibly with the changing needs of the service users and the team. If you enjoy team working, using your initiative and are confident to work independently this role could be for you.
Excellent communication skills (verbal and written) are essential, as is an ability to prioritise your workload and work under pressure at times to agreed timescales.
You will:
have excellent skills in MS Office applications
manage the team inbox and voice messages
book users into groups
distribute information
contact users and other stakeholders
manage payment of external venues
organise and minute meetings
collate and present data
have meticulous attention to detail
The role will involve time working from home as well as Thursdays at our base in Maidstone, Kent.
Main duties of the job
- Use of full range of administrative procedures and software programmes.
- Knowledge of relevant Trust policies and procedures including branding and HR practices.
- Contributing to the design and development of standard and bespoke data reports.
- Managing busy workload and conflicting priorities.
- Handling confidential and sensitive information in accordance with Information Governance and the Data Protection Act.
- Excellent verbal and written communication.
- Excellent keyboard skills to ensure accuracy, speed and optimum use of functions.
- Ability to analyse a wide variety of sometimes complex situations/information and make conclusions and where appropriate recommendations depending on the nature and complexity of the data and subjects.
- Ability to plan, prioritise and organise a number of activities and continually reprioritise to meet tight, conflicting and often changing deadlines.
- Plan own workload to ensure that internal and external targets are met and which may involve extracting information from various systems and takes initiative to query conflicting information or to clarify as appropriate.
- Training and coaching skills.
- Create business reports written to standard capable of presentation to senior management team using simple charts to illustrate and with clear and unambiguous explanations/interpretation of data.
