Job summary

MEDICAL HR APPRENTICE

Hybrid Working - 37.5 hours - Monday to Friday

We have an exciting opportunity to join KMPTs Medical HR Team as a HR support working across the Revalidation, Appraisal & Job Plan and Roster teams.

We are commissioned to provide secondary mental health services across Kent and Medway, both in the community and within inpatient settings.

Medical HR are a small and welcoming team that will support you in gaining confidence, experience and required skills.

We work in a fast paced but supportive environment, where one day is different to the next.

Main duties of the job

You will be trained to support the Revalidation and Roster team members in all aspects of the Revalidation and Roster cycle, you will learn end to end Medical HR processes, these processes will be varied but you will be fully supported with a named mentor.

To provide an efficient and effective clerical and administrative support service to the Revalidation and Appraisal/Rota Team in accordance with Trust policies and procedures.

To communicate with staff, managers and clients, both written and verbally in a professional, sensitive and courteous manner, maintaining confidentiality at all times.

To attend regular meetings with the supervisor and assessor and attend training sessions leading to an Apprenticeship in Customer Service Level 2 with bespoke administration units.

Job description

Job responsibilities

To efficiently undertake basic administration and clerical duties which may include the following duties as directed:

  • Data input, data extraction, photocopying, faxing, filing and typing duties as directed
  • To deal with internal and external post and emails on a day to day basis
  • To support the team to maintain accurate, timely and legible records
  • To answer/deal with queries, both face to face and via the telephone, take messages and pass them on to the relevant member of staff in an appropriate and timely manner.
  • To provide appropriate reception cover as and when required.
  • To meet and greet visitors as required.
  • To obtain and retrieve clinical/non-clinical records as requested.
  • To support the control of clinics/appointments and retrieve records.
  • To maintain filing systems in line with organisations policies and procedures.
  • To assist with the ordering and maintenance of stock supplies (specific to role as appropriate).
  • Collating information for reports
  • Communicating with staff about training provision and booking training courses for staff
  • To be a flexible and supportive member of the team.
  • To maintain strict confidentiality at all times
  • Attend and take part in team meetings & regular reviews with line manager.
  • To prepare for and attend assessment meetings and participate in relevant training programmes as required by the Trust.
  • Throughout the training period the post holder will be expected to complete all educational and training as required.
