Job summary

We have an exciting secondment opportunity for a full time Booking Team Manager to join our Access Booking and Choice Team at Fitton House, Dewsbury Hospital. The Booking Team Manager plays a crucial role, working closely with the Booking Teams, senior management, and Surgical/Medical specialties to ensure efficient and effective operational management within the teams and to support the Trusts agenda

In this exciting and challenging role, you will be responsible for supporting the operational delivery of RTT as well as closely working with Patient Access Team Leaders to support all teams across Access Booking and Choice. In this role, you will ensure that high quality services are delivered in your service areas, including the provision of effective administration services.

You must have experience in operational management or management of services and a good understanding of NHS management. You will possess interpersonal, analytical and problem-solving skills, and have the ability to influence and negotiate with a variety of colleagues at all levels both within and outside of the organisation.

Main duties of the job

The Access Booking and Choice (ABC) Booking Team Manager will be responsible for direct line management of the Patient Access Team Leaders within a divisional team (the divisional teams are Medicine & Womens and Childrens /Surgery/ Cancer Administration).

Each divisional team will be responsible for the delivery of an efficient, effective and quality service within a number of specialties and across other services along the patients pathway. The team will be specifically responsible for ensuring patients receive timely access to outpatient departments, diagnostic investigations, inpatient / day case treatments and adherence to the cancer and 18 week RTT patient pathways for each of their designated specialties.

The post holder will maintain effective working relationships with the specialty teams outside of ABC division to ensure the sustained delivery of key operational targets.

The post holder will work with the ABC Booking Manager to deliver a high quality service ensuring adherence to the Patient Access Policy and Cancer standards. Ensuring that the specialty teams are managing data quality across service areas, ensuring accurate 18 week and cancer activities are routinely captured on information systems and accurately tracked through pathways.

Job responsibilities

  • Develop effective business procedures and processes thereby ensuring streamlined delivery.
  • Identify proposed changes to working practices to improve the service and workforce and agree a planned implementation with the ABC Booking Manager and other ABC Team Managers.
  • Support the Specialty Management Teams in the delivery of key access targets.
  • Monitor delivery of agreed activity levels through trajectories and KPIs.
  • Play a key role in ensuring that performance against targets is communicated throughout ABC Division and the specialty management teams.
  • Support the forward planning process for the Division.

  • Provide weekly updates and reports on division performance and monitor agreed actions to ensure delivery. Identify in timely manner to the ABC Booking Manager any risks to agreed delivery.
  • Develop and sustain good relationships and work closely with other divisions / departments.
  • Provide support to identified projects.
  • To support in the investigation of informal and formal complaints, ensuring learning is disseminated and actioned within the team.

    • Any other duties/responsibilities as delegated by ABC Management Team to support the function and development of the service.
    • To be responsible for the coordination of annual leave, sickness or other absences within the specialty teams to ensure service delivery and compliance to Trust policies.
    • To participate in the recruitment, training, appraisal and general discipline of staff employed within the workforce.
    • Maintain mandatory training and study leave records for the team, supporting the development of a coordinated training plan for the ABC Team.
    • Ensure that team members are compliant with their competency framework requirements and specific training needs.
    • To undertake and receive yearly individual performance reviews/appraisals that will reflect both personal objectives and service objectives.
    • Discuss development opportunities, and support staff in achieving their optimum potential.
    • Resolve issues/concerns with individual members of staff the post holder line manages, which may be of a highly delicate, complex and personal nature and require expertise and understanding to handle, liaising with the HR team when necessary. Also support and develop Team leaders in this field.
