Job summary
We are seeking an enthusiastic and motivated individual, who can work well as part of a team, who can provide a high quality administration support on the ward. The successful candidate will need good written and verbal communication, strong IT skills, inter-personal and administration skills with the ability to work flexibly. A proactive "can do" attitude is required and a commitment to high quality, ability to adapt and manage workload and time to support the demands of the ward, and be a friendly and professional member of the team, often as the first point of contact for visitors and staff on the ward.
Ward 2 is a 32 bedded elderly step down ward, with a large multi-disciplinary team working collaboratively to provide patients with high standards of care, and a positive experience during their time on the ward. We are busy ward, and are looking for a proactive and friendly individual to join our team. As a ward clerk you will often be the first point of contact on the ward, so excellent communication skills, and a good understanding around confidentiality and GDPR is essential in this role. The position is Monday - Friday, and the preferred hours of work would be 07:30-15:30, although there could be some flexibility to these hours.
Main duties of the job
- To work as a team member within a busy ward environment carrying out assigned tasks involving the indirect care of the patients, to ensure effective management of the department on a day to day basis.
- To provide a comprehensive administrative service to the ward
- Support and assist in the effective management of the service on a day to day basis

- Undertake clerical, administrative and reception duties.
- Support the nursing team in the effective running of the department, providing a quality patient centred service
- Welcome patients and visitors to the ward area.
- Answer the telephone, transferring calls and recording and delivering messages accurately and to the appropriate personnel.
- Input patient activity on Patient Administration System (PAS), including booking elective admissions, admitting, discharging and ensuring that the PAS is kept updated.
- Complete records of nursing activity for coding purposes.
- Obtaining patients notes and preparing same for patients admission.
- Book ambulances, interpreters and other supportive services
- Arranging district nurse referrals, on request of unit staff.
- Liaise with support services.
- Liaise with Pharmacy staff regarding the ordering / delivery of discharge medications.
- Liaise with other wards / departments.
- Be responsible for the ordering and monitoring of clerical stores, and stock rotation.
- Assist with the general cleanliness / tidiness of the ward environment.
- Filing medical and other documents as necessary.
- Preparation of GP and District Nurse letters.
- Maintaining ward display of patient / visitor information leaflets and re-ordering as necessary.
- Take a proactive approach to health and safety, reporting any accidents or incidents, be they actual or potential, to the nurse in charge.
- Liaising with estates department and reporting any faults / repairs as necessary
- Maintain patient confidentiality at all times.
- Provide a general secretarial service for ward staff.
