Job summary

Digital Services have exciting new opportunities for a full-time 37.5 a week Digital Systems Administrator position at Mid Yorkshire Teaching NHS Trust.

Please note: This is a fixed term position until 31/03/2026.

We are looking for experienced, talented, and motivated individuals to join our Digital Systems team, which forms part of the larger Digital Services Department at The Mid Yorkshire Teaching NHS Trust. The role will operate supporting the Trusts use of Digital Systems. You will be required to work closely with other members of the Digital Systems team, in addition to Trust Programme Leads, and will play an important role in the support of users and the configuration, maintenance, training and administration of the Clinical Systems under your remit.

You will be an excellent communicator, understanding of the pressures in healthcare, and show an ability to learn and respond to demands in a fast-paced technical environment. You will possess a logical approach to problem solving, and the ability to quickly assess issues and prioritise workloads in order to provide a responsive resolution. You will able to work autonomously, within the boundaries of the role, as well as importantly, being part of a progressive team.

Main duties of the job

Duties will include but not limited to:

  • Monitoring incoming requests and incidents from the Digital Service Desk.
  • Supporting users in their use of clinical systems.
  • Setting up user accounts.
  • Removing leavers and other routine housekeeping tasks.
  • Maintaining the integrity of patient data.
  • Configuration of clinical systems.
  • Giving advice and Ad-Hoc training to users.
  • Prepare and create support documentation for clinical systems.
  • Testing system changes due to clinical systems updates or other changes.

Job responsibilities

Key Responsibilities

  • Responsible for monitoring incoming requests from the Digital Service Desk and resolve / escalate these in line with agreed service level agreements (SLA) as required.
  • Supporting the Trusts use of clinical systems that include, but are not limited to:
  1. PAS (Patient Administration System)
  2. Electronic Patient Record Systems
  3. Electronic Prescribing Systems
  4. Order Comms
  5. PACS (Picture Archiving and Communication System)
  6. eDMS (Electronic Document Management System)
  • The post holder will take responsibility for maintaining data integrity. Regular housekeeping tasks must be carried out to ensure that digital systems operate smoothly and efficiently and that they are available to users during agreed times including occasional support outside of normal working hours.
  • Identify user data errors and correct them thus avoiding potential risks to patient care and subsequently avoiding clinical incidents.
  • Manage clinical system user accounts. Allocation of appropriate system security to those users in accordance with IT security policies.
  • Prepare and manage support documentation for digital systems as required.
  • The post holder will be involved in identifying and resolving software problems and faults. This will include liaison with other teams within Digital Services and also third party suppliers of digital systems.
  • Escalate, where appropriate, to the senior colleagues.
  • Responsible for minor application changes to systems when required
  • Involvement in the testing of planned system changes and incident resolutions
  • Involvement in Change Management techniques by testing application procedures in a test environment to ensure any changes will be successful before releasing in a live environment. The post holder may be required to write test scripts.
  • The post holder will be expected to investigate potential solutions to systems problems and to make recommendations for consideration by the appropriate Digital Systems manager.
  • The post holder must approach system problems methodically. System issues can be complicated and resolving issues can require great concentration.
  • Sensitivity and confidentiality is of paramount importance as access to a wide range of confidential sensitive and patient identifiable information is routine to the post.
  • The post holders will be expected to communicate on a multidisciplinary level with clinicians, doctors, other medical staff, secretaries, administrative staff, IT project managers, etc.
  • Make suggestions to the Technical and Operational Services team on application issues.
  • Liaise and advise with outside contractors staff
