Job summary

An exciting administrative opportunity has arisen to join The Mid Yorkshire Hospitals NHS Trust Quality & Safety Team.

We are looking for a motivated, enthusiastic and proactive individual to join our team as a Patient Safety Support Officer to work in an administrative role and support the Patient Safety portfolio.

Experience with working with Datix or other Patient Safety application is an advantage, but not essential, as full training will be provided.

The post holder will be part of the Quality and Safety team working closely with all other teams within Corporate areas, as well as with multiple other departments and colleagues at a range of levels across the Trust.

The post in the Quality & Safety function is an ideal platform to learn and develop within the patient safety field, from an administrative perspective.

Main duties of the job

The post holder is responsible to the Patient Safety Intelligence Manager and the Matron for Patient Safety for providing an efficient, accurate and timely patient safety administration management process.

Any other administrative duties within the Quality & Safety team of the role appropriate to the grade as requested by Patient Safety Intelligence Manager.

Job description

Job responsibilities

  • The post holder will ensure that accurate data checking procedures are followed within the Datix system.
  • The post holder will communicate with all levels of staff following any queries/concerns with the Datix incident management process escalating any concerns to the Patient Safety Intelligence Manager or Quality & Safety Analyst.
  • The post holder is responsible for extracting and manipulating information from the Datix system in order to fulfil basic requirements of the Trust.
  • Analyse data extracted from Datix, identify themes and trends and support the Patient Safety Intelligence Manager in the delivery of basic reports.
  • Due to a high volume of patient/staff identifiable information, the post holder will maintain confidentiality at all times.
  • Demonstrates effective communication to ward/department staff, to ensure data is accurate within the patient safety form.
  • Supports the administrative process of learning from excellence.
  • Responds to routine telephone enquiries in a professional manner.
  • Ensure timely uploading of incidents to the Learning from Patient Safety Events/National Reporting Learning System.
  • Ensure accuracy of the pressure ulcer incident management process.
  • Assist with general Datix admin requests including but not limited to password resets, new account creations etc.
  • Support the Divisional teams with the incident management process as and when required.
  • Attend, contribute to and facilitate team meetings and weekly safety huddles
  • Facilitate meetings including agenda and taking minutes as and when required.
  • Any other duties within the Quality & Safety team of the role appropriate to the grade as requested by Patient Safety Intelligence Manager.
  • Monitoring the central email account and responding appropriately using own initiative and escalating as necessary.
  • Maintain the Patient Safety inbox and liaise with other Trusts and the CCG on internally and externally reported incidents and ensure the Interface Incident spreadsheet is populated and updated and feedback is sent.
  • Respond to all queries, correspondence and telephone calls in a timely and professional manner. Initiate action where possible and report progress as appropriate.
  • Support the development of the Quality & Safety Team Intranet pages, ensuring documents are up to date.
  • Assisting in the preparation of data and information for monthly/quarterly/annual reports and projects.
  • Be willing to undertake training for specific and generalised processes within Datix configuration as and when required to support the team.
  • Review and destroy old records (annually) in line with the Trusts retention policy.

  • 5 GCSEs, including English and Mathematics, at Grade C or above

  • RSA level 3 or equivalent in word processing, or experience using IT equipment which would equate to this level.

  • Experience of providing full administration/facilitation of meetings to a Committee/Group, including production of an agenda, taking minutes, etc.
