Job summary

We also partner with regional stakeholders to design and deliver recruitment programmes to diversity routes of employment into the organisation for our local community.

Managing a portfolio of work, you will ideally have exceptional organisation skills, computer literacy, the ability to manage tight and conflicting deadlines, enjoy being the first point of contact for candidates and providing an excellent customer service to recruiting managers and applicants.

Main duties of the job

The successful candidate will contribute towards a comprehensive recruitment service by providing effective support and advice to members of the public and Trust employees. Strong attention to detail is required to ensure adherence with procedures, which includes the issuing of contractual documentation and undertaking pre-employment checks in line with regulations.

Candidates will maintain accurate records of all recruitment activity via e-Recruitment systems, ESR and robust filing systems.

Representing the Trust at recruitment events (both internal and external to the Trust) forms a regular part of the role. Engaging with potential candidates, showcasing employment opportunities and supporting individuals into roles is key to our ambition of being an excellent employer.

Job description

Job responsibilities

  • The post involves the provision of a comprehensive recruitment service including managing vacancies on the E-Recruitment system, communicating with applicants and managers at all stages, and preparing offer letters and employment contracts.
  • To co-ordinate the recruitment approval process by maintaining an up to date log of approvals received and requesting appropriate advert requisition forms and job documents to initiate the recruitment process.
  • To input vacancy details to specified deadlines on the National NHS Jobs website ensuring that appropriate documentation is attached including the Job Description and Person Specification and that vacancy details are in line with those approved by the recruitment control panel
  • To manage the applications for each vacancy from response to interview stage through the web based E-Recruitment system ensuring checks are carried out in relation to disabilities, criminal records and registration.
  • To perform a first level shortlist for all posts via the E-recruitment system based on the information provided by managers on the person specification.
  • Co-ordination of interview invitations and reference requests via the E-Recruitment system to specific deadlines.
  • To ensure that managers follow procedure at all times and return all appropriate documentation at all stages to satisfy pre-employment checks and regulations.
  • To maintain an accurate record of recruitment activities via the E-Recruitment system and ESR and be subject to monitoring of this process on a regular basis by the Team Leader.
  • To prepare offer letter and contract information to timely deadlines and to initiate the payroll processes by ensuring appropriate documents are passed to the payroll department.
  • Provide clerical support to the Department as required including general office duties.
  • Effective communication with applicants regarding the use of the NHS Jobs website and communication with candidates and recruiting managers at all stages of the recruitment process to ensure they are updated at set stages of the end to end process
  • Process and distribute incoming and external mail for the Department when required.
  • Provide an administrative service to meet the Departments needs.
  • Deal with enquiries, with members of the public, Trust employees and recruiting managers on a range of recruitment issues, through telephone, by e-mail and face to face.
  • Maintain departmental filing systems and ensure electronic databases such as the E-Recruitment system, the recruitment tracker and ESR are up to date and accurate at all times.
  • Participate and provide administrative support in the co-ordination of ad hoc events e.g. recruitment events.
  • Participate and attend administrative meetings as required for updates regarding Departmental procedures and action accordingly.
