Job summary

Mid Yorkshire Teaching NHS Trust is looking for a Band 3 Supervisor within the Podiatry Office to become a key role within our department. We are looking for a highly motivated, approachable, enthusiastic individual to undertake this position. You will be working in a friendly team, assisting with providing Podiatry services for people from all ages and backgrounds within the Wakefield District.

You will be responsible for providing positive customer service to patients and health professionals dealing with patient queries and supporting patients to access our service. The post holder will need to have excellent communication skills to empathise, motivate, persuade and negotiate in the course of line management of the administrative team.

Customer care standards are high within the administrative team so if you want to make a difference to our patients then this is an exciting opportunity for you to contribute to this positive patient experience.

The core hours will be Monday to Friday between 08.00 till 16:00.

Main duties of the job

The post offers an excellent opportunity to utilise your communication skills within an expanding and exciting service, lead and empower a team in order to improve the experience for our patients. The post holder will manage a team of clerical staff on a day to day basis. They will be responsible for a clerical workload of their own and will be required to have good organisational skills and a high degree of initiative, along with the ability to prioritise and maintain confidentiality. The post holder will be required to work in collaboration with the Team Leader/Service Lead to ensure effective and efficient delivery of healthcare for the patients of the Wakefield ICB.

The post holder must have excellent communication skills, be adaptable and flexible to pressures and carry out administration duties in a manner that supports departmental targets and ensures compliance with standard operating procedures.

Job description

Job responsibilities

  • The post holder will be required to supervise the work of Podiatry clerical officers and ensure there is cover for the Podiatry service due to sickness, annual leave, study leave and meetings etc. when required
  • To regularly review 18 week RTT for the Podiatry service to ensure all pathways have been stopped or started as per guidance
  • Design and produce the monthly Podiatry Service staff timetable. Monitor new patient referrals and current demands at all Podiatry clinics and adjust the monthly clinical sessions to manage service waiting lists and workload as required
  • The post holder will be responsible for clerical duties in the service e.g. to ensure patients are booked or cancelled for Podiatry clinics
  • Issue domiciliary requests (home visit patients) to Podiatrists and Podiatry Assistants received from e.g. District Nurses, G.P. practices, and patients
  • Maintain and update patient records on the central computer database. To register and action new patient referrals and manage discharges from the system
  • To assist with the confidential management of patient records and ensure that all documentation is returned to the appropriate ward/department is accurately complete and promptly dispatched
  • To be responsible for the accurate and timely storing/scanning of records, e.g. investigation reports and letters
  • Liaise with Fieldhead Hospital / SWYPFT as required in relation to Podiatry patients / referrals
  • To assist in audit activity when evaluating service delivery as and when required by the Service Lead and Team Leader
  • The post holder should use initiative to make decisions and prioritise their own work when processing calls to the service
  • Liaise with G.P.s surgeries and other healthcare professionals to optimise patient care as required
  • Type letters / correspondence / minutes as required for the Podiatry clinical staff
  • Operate IT systems ensuring correct data is held on the database and Trust systems, and update as necessary e.g., E-roster, Systm 1
  • To participate as required with staff recruitment and selection, whilst considering issues in relation to the departmental structure and future service developments
  • The post holder will give relevant assistance and training as and when required to support all colleagues
  • Deal effectively with any performance, capability or informal disciplinary issues with the Podiatry Clerical Officers in line with Trust policies
  • To work collaboratively with, manage on a day-to-day basis and appraise a team of Podiatry Clerical Officers to ensure that robust performance management systems operate which empower staff and optimise their contribution to the delivery of high quality patient centred healthcare
