Job summary
The post holder will support the Children's pathways by leading the administration function across the service's. They will be responsible for the operational management of the administration staff, within a line management structure. The administration lead will take responsibility for administrative and data quality, performance reporting, assurance and customer service.
Main duties of the job
- Work with Clinical Managers and the Project Support Manager to lead the redesign of administration services to a single point of Contact model.
- Support and cross cover with the Physical Health Admin Lead/Teams.
- Working with Advanced Nurse Practitioners, clinical and administrative staff; establish and streamline administrative processes across pathways and single point of contact hubs.
- Working with colleagues, ensure that IT system functionality is maximised and used effectively for the efficient service delivery.
- Continually review administration systems and processes to ensure quality. Adapt and implement changes and updates where needed to meet commissioners and divisional needs.
- Establish effective staff rotas to ensure adequate cover and functioning of the single point of contact and administrative tasks across single point of contact hubs.
- Implement appropriate systems for dealing with telephone enquiries, recording of telephone messages and required escalation procedures.
- Adapt the single point of contact to accommodate new and emerging services
- Develop and embed expected customer service standards ensuring they are achieved and maintained in all aspects of administration work and communications.
- effectively and efficiently e.g. stationery, medical supplies across the single point of contact hubs.
- Overall management of the service email inboxes
- Maintain open communication pathways between clinical and administrative staff
