Job summary
We are looking for an administration assistant to provide administration, clerical support, reception and call handling duties within East Locality Admin Team.
An exciting opportunity has arisen for an Administration Assistant to join our administration hub that support our Adult and Older Peoples Mental Health Services based at Heathfield Centre, Hatfield.
We are looking to recruit a motivated and enthusiastic individual to join our busy team who has a flexible approach to supporting the various services within our hub. You will need an understanding of confidentiality, possess strong communication skills and be able to work with both clinical and administration staff, members of the public, patients and electronic systems.
The post is permanent, 37.5 hours per week to be worked over 5 days from Monday to Friday excluding bank holidays.
For the appropriate applicant administrative experience is essential and knowledge of the NHS and experience of using SystmOne would be an advantage for this position.

Main duties of the job
Answer telephone calls as per agreed protocolsTo communicate effectively, accurately and professionally, applying discretion and empathyCreate and maintain, up to date computerised patient records and recall systems on SystmOne.Update new referrals on to SystmOne. Maintain current referrals and end where advised to do soProvide an efficient and timely photocopying and scanning service to the team, including incoming and outgoing post.Assist in the production of high quality documentation, using Microsoft Word and SystmOne, including confidential letters, non-accidental injury reports, case conference reports, housing reports etc.Liaise between clients, professional staff and other multi-agency partners as required.Deal with telephone enquiries in a courteous and efficient manner, recording messages as per agreed systems and escalating as per protocols.Book appointments, assessments, groups/clinics, as required and maintain appointment ledgers and recall systems on SystmOne.Ensure patients are appropriately received, and where necessary make follow up appointments using SystmOne.
