Job summary

We are looking for an individual who would like to develop their skills and knowledge within our Blood Sciences Central Services Department at CHFT, with particular focus on the Referrals service. This position is a key role within Central Services and will assist the Central Services Manager with the management of the department, in particular the Referrals section, and deputising when necessary. The individual will benefit if they have extensive experience and are familiar with the requirements of a busy Pathology Central Reception, however full training will be available. This position requires an efficient and flexible individual who strives to provide a high-quality service at all times, is open to change and improvements, and be a valuable member of the team.

The succcessful candidate will be required to work Monday to Friday during routine working hours. There is some flexibility to the start time however there is a requirement for them to be on-site during the busier period of the service.

Main duties of the job

The successful candidate will demonstrate good knowledge and understanding of Blood Sciences tests, sample stability and packaging requirements for Biological specimens that are transported to external hospitals for analysis. This individual may be required to support the Stores department, ordering and maintaining sufficient pathology stock and supplies for the hospital and wider community services.

Some key roles for this position include -

  • delivering training for new staff members, including competency assessments.

  • providing statistical information from the LIMS system
  • supporting the department in ensuring data quality,
  • monitoring samples referral to other laboratories
  • over-seeing the operation of the Referrals service.
  • monitoring the Referrals emails
  • chasing outstanding results.
  • reporting results
  • liaising with both users within the Trust and outside as well as external service providers.
  • monitoring turnaround times
  • invoicing tasks
  • monitoring changes to processes and updating documentation.
  • investigating incidents

Central Services is the front line of the Blood Sciences Department.

Reporting directly to the Central Services Manager, the Central Services Coordinator is responsible for the coordination and smooth running of all day to day tasks throughout Central Services, with particular focus on the Referrals section.

The Coordinator will assist the Central Service Manager with managing the department and deputise where necessary.

The person will be an efficient and flexible member of the Blood Sciences laboratory Team, providing a quality service to Calderdale & Huddersfield Foundation Trust.

The post will be based predominantly on the HRI site but there is an expectation that the post holder will be required to work on both sites (HRI & CRH) depending on the needs of the service.

Main Tasks

Demonstrate politeness, courtesy and sensitivity when dealing with patients, services users, colleagues and members of the public.

Promote a positive image of the Pathology and Calderdale & Huddersfield Foundation Trust at all times.

Work cohesively with colleagues to ensure we give excellent patient care at all times.

Liaise adequately and efficiently to queries from CHFT Colleagues, Patients, General Practice and community staff.

Continually review Central Services processes and documentation, with particular focus on the Referrals section, and ensure we meet the needs of our users

Continuously lead effectively in an ever-changing environment.

Deliver training for new staff and sign off competency assessments.

Assist the Central Services Manager with staff appraisals and RTW interviews

Work independently with minimal supervision

Follow Trust and Departmental policies and procedures at all times

Carry out routine and ad hoc audits for the department when required.

Ensure deliveries are received, delivered and stored according to temperature controls on packaging or shipping notes.

Ensure deliveries into the department are done safely following manual handling protocols and ensuring the correct use of equipment.

Follow standard precautions for Infection Prevention Control at all times, including good hand hygiene.

Assist ward staff with pathology consumable requests.

Participate in flexible working arrangements as required by the needs of the service.

Maintain close working arrangements with the wider Pathology team as appropriate.

Build staff rosters for Central Services on the Erostering system, approving annual leave, shift requests and swaps and recording sickness and unavailabilitys and absences.

Essential

  • English and Math GCSE grade 9-2 (A*-E) or equivalent or high level of literacy and numeracy skills demonstrated within application
  • NVQ Level 3 in Clinical Laboratory Support or Healthcare (or equivalent qualification)
  • Demonstrate a commitment to and participation in continued professional
  • Willingness to attend relevant courses
