Job summary

The post of Pathology Stores Assistant is to ensure the efficient day to day storage and distribution of Pathology stock items.

Training will be given to ensure competency in all areas of activity. Records will be kept of training received. The jobholder will be expected to follow all the protocols and SOPs appropriate to their work.

The post is likely to be based primarily at HRI, but there is an expectation that the individual will work on either HRI or CRH depending on the needs of the service.

Main duties of the job

  • Ensuring deliveries are received, delivered and stored appropriately according to temperature controls on packaging or shipping notes.
  • Ensure deliveries into the department are done safely following manual handling protocols and ensuring the correct use of equipment.
  • Maintain adequate stock levels, arranging for restocking if required.
  • Processing of consumable requests received by hospitals wards, departments and GP practices.
  • Packing and fulfilling consumable orders for delivery to hospital wards, departments and GP practices.
  • Distribute completed orders to Trust Transport for distribution.
  • Send communications to services users when stock has been dispatched.
  • To have an understanding of consumables used within all Pathology disciplines, the Trust and externally within the GP network.
  • Communicating with both the Primary and secondary care networks regularly to provide a accurate and efficient service.

There is a high frequency of repetition of tasks such as:

  • Bending to floor and reaching to overhead height to pick boxes and items, this will include the use of platform steps
  • Bending to load/place items on a cage or refill shelving
  • Moving of empty and loaded cages, trolleys and pallet truck
  • Manual lifting of boxes, this will include stepping up on to a platform step.
  • Loading and use of manual and electronic trolleys to move goods around.

Main Tasks and Responsibilities

  • To demonstrate politeness, courtesy and sensitivity when dealing with services users, colleagues and members of the public.
  • To promote a positive image of the Pathology and Calderdale & Huddersfield Foundation Trust at all times.
  • Maintain a professional appearance in line with the Trust dress code.
  • To work cohesively with colleagues to ensure we give excellent patient care and service at all times.
  • To greet and welcome visitors to Pathology. This may involve escorting visitors to the correct location, taking receipt of samples from patients/service users, offering help or advice to colleagues or receiving deliveries of goods into the department.
  • Ensuring deliveries are received, delivered and stored appropriately according to temperature controls on packaging or shipping notes.
  • Ensure deliveries into the department are done safely following manual handling protocols and ensuring the correct use of equipment.
  • Ensure all discrepancies are correctly noted on delivery notes and escalate to Central Services Team Leader or Manager
  • Ensure all delivery/shipping notes are labelled with a received date and passed on to the Central Services Team Leader or Manager for electronic receipting.
  • To follow standard precautions for Infection Prevention Control at all times, including good hand hygiene.
  • Be responsible for opening and locking the Pathology Stores stock room.
  • Maintain adequate stock levels, arranging for restocking if required.
  • Processing of consumable requests received by hospitals wards, departments and GP practices.
  • Packing and fulfilling consumable orders for delivery to hospital wards, departments and GP practices.
  • Distribute completed orders to Trust Transport for distribution.
  • Send communications to services users when stock has been dispatched.
  • Liaise with Trust Transport and Materials Management on a regular basis, face to face, via telephone or email where necessary.
  • To have an understanding of consumables used within all Pathology disciplines, the Trust and externally within the GP network.
  • Use initiative and inform line management of low stock items in a timely manner and take guidance to rectify if appropriate.
  • To work cohesively with Materials Management regarding stock requests or issues with supply of consumables
  • To assist the Pathology Support Worker with consumables for blood culture kits
  • To assist with the making of blood culture, FIT and Covid kits or any other kits that are required to be produced in-house.
  • To maintain stock levels in the Pathology consumables/out of hours room, ensuring stock control and rotation is performed in date order.
  • Supply Pathology consumables to Pathology at CRH for distribution on the Calderdale site.
  • Assist the Central Services Team Lead or Manager with consumable audits.
  • To load and unload a pallet truck

  • To assist with the training of new starters if necessary.

Health and Safety

  • Wear PPE provided and follow IPC measures, including hand hygiene at all time.
  • Follow the health and safety training you have been given.
  • Ensure adherence to the safety policies of Pathology and the Trust.
  • Be aware of the inherent hazards in the workplace, and to take adequate precautions to prevent them.
  • To work with great care at all times and to report any new risks encountered or accidents to the Laboratory Manager and the Pathology Health and Safety Manager.
