Job summary
We are looking to recruit a highly motivated individual to join our Reception/Admin Team based at Clockhouse, Elland. You will also be required to work flexibly across the admin sites from time to time to accommodate the needs of the service, supporting the team from a non-clinical perspective.
You must have excellent communication and customer service skills together with competent IT skills and excellent attention to detail.
You must be able to work under pressure and be able to meet deadlines.You will also be expected to help the department in maintaining high standards of health and safety. The department is open Monday to Friday, you must be flexible and able to cover the hours of operation.
Main duties of the job
- To provide a friendly customer focused reception/clerical service to both patients and staff at community sites (locality hubs).
- To provide administrative support to clinical teams as and when required.
- Work flexibly across community sites where necessary.

- Deliver all reception, telephone and administrative duties in a courteous and friendly manner including efficient and timely message taking.
- Book patients into clinics using electronic booking systems, (SystmOne, Cerner EPR) and process discharge referrals.
- Responsibility for booking rooms within the health centre and assist with the preparation of meeting rooms as required.
- Liaising with parents/carers when ordering special equipment.
- Carry out fire warden duties for community sites.
- General administrative duties: including; processing discharge referrals, sending and receiving emails, photocopying, filing, archiving, scanning and handling other correspondence promptly and efficiently.
- Use a range of software programmes to produce, maintain and distribute documents, including reports, spreadsheets, databases and presentations.
- Communicate with patients, the public and staff from other parts of the trust on a wide range of issues; always presenting an efficient, courteous and empathetic manner.
- Order and take delivery of clinical and stationery supplies, including stock taking where necessary.
- Input data on to SystmOne and extract data from Cerner (EPR) as required.
- Liaise with, where appropriate, all internal and external organisations, (e.g. GPs, Facilities Management Contractor).
- Maintain strict confidentiality in conjunction with the Data Protection Act.
