Main duties of the job
You will work closely with the Purchasing Team leader in obtaining the maximum possible value from the money spent by the trust on goods and services. In addition, this role is also key in identifying and delivering cost saving opportunities whilst at the same time ensuring a consistently high-quality service is delivered by the trusts purchasing team.
This role will also ensure that all requests for goods and services not available via managed catalogues are processed effectively and efficiently whilst liaising with and supporting the contracting teams in identifying additional goods and services that should be contracted.
You will be a team player with a keen eye for detail with excellent interpersonal skills and to be able to communicate clearly and concisely at all levels.

Job responsibilities
- Provide administrative support including filing, photocopying, collation of information, mail distribution and any other similar associated duties.
- Support and assist the Purchasing Team Leader on all aspects of catalogue management to reduce costs across the Trust by identifying areas suitable for standardisation.
- Support and contribute towards Key Performance Indicators for the monthly delivery of the Procurement Dashboard.
- To manage and prioritise workflow notifications that relate PO/Invoice discrepancies to ensure that they are kept to a minimum and actioned within a timely manner.

Take an active part in the continuous review, development and improvement of systems, processes and services in support of the Trusts commitment to a comprehensive and coordinated approach to procurement.
- Support the Purchasing Team Leader in training staff across the Trust in the use of the purchasing system and supplies procedures in general.
- Contribute towards the development of the Procurement Team by active participation in training and development and by suggesting areas of change within the department.
- Support the Purchasing Team Leader in promoting improved efficiency through supplier and product rationalisation. Identify and advise savings opportunities and ensure that realised savings are logged and reported in accordance with Trust requirements

Support the Purchasing Team Leader in explaining the role of the Procurement Department within the organisation covering areas such as the importance of the accurate completion of purchase requisitions, the relevance of appropriate financial coding and authorisation, the financial hierarchy structures that exist in the organisation and individual budget holders delegated limits so that orders can be processed promptly and efficiently whilst adhering to Corporate Governance standards.
- Create and maintain good working relationships with internal customers and suppliers, providing advice and guidance on all purchasing procedures and Trust policies and promoting the Purchasing Department at all times
- Support the Purchasing Team Leader to ensure full compliance with the Trusts SFIs, SOs, Scheme of Reservation and Delegation (SORD) ensuring that all staff for whom the post holder is responsible are trained and fully comply as appropriate.
- Support the Purchasing Team Leader to ensure that value for money is achieved on all products and services via appropriate evaluation and assessment of alternatives for purchases made outside of existing contractual arrangements utilising spend analytic tools as appropriate.
