Job summary

Workways

Workways is an established service of Devon Partnership NHS Trust and offers support to people who as a consequence of their mental health require support to find or stay in paid employment.

The Business administrator role would support, alongside admin colleagues and Team Leads both the clinical team and Mindful Employer team with all aspects of admin support.

The Workways staff team comprises of Employment Specialists and Employment Coaches.

Workways specialise in the following areas:

Job Retention- helping people who are in paid employment and need support to retain or maintain their job.

Individual Placement and Support (IPS) service our team help people who would like to find paid employment of any number of hours and who need some additional support to do so.

Mindful Employer - We run the UK-wide MINDFUL EMPLOYER initiative which supports employers in the recruitment, retention and redeployment of staff who experience mental ill health.

Main duties of the job

The post holder works as an integral part of the team to provide a reception, clerical and secretarial service.

There will be an expectation for the post holder to be highly motivated, flexible and enthusiastic with excellent organisational and secretarial skills.

  • Tasks within the role will include meeting organisation; minutes taking; responsibility for keeping databases updated.
  • Knowledge of or willingness to learn finance administrative processes such as invoice production, requisition, income and expenditure tracking, purchase card returns. Liaison with DPT finance team.
  • Knowledge of Microsoft Access, Excel, Outlook and Word is required and will be required to maintain an up-to-date knowledge of Information Technology. Training to use the Electronic patient record system System 1 will be required.
  • Training with team specific administrative tasks will be provided.
  • The post holder will need to meet deadlines, collate data and maintain standards relating to administrative processes. The post holder will also need to have excellent time management skills as this post will support multiple members of team .
  • The post holder will be expected to work without direct supervision on a day-to-day basis and manage their own workload.
  • Support from Team manager and team leads within the service will be readily available. The post holder may be expected to line manage Band 3 administrator.
