Job summary

We are currently looking for a Receptionist & Administrator to work on a Bank contract, based at Welwyn. This will be at a Band 3 level

The admin team provides a comprehensive, professional, effective reception and secretarial administrative service to the CAMHS North child and adolescent mental health team. This role will focus primarily on providing a welcoming environment to young people and their families on arrival at the clinic and ensuring they are seem in an timely manner. It also involves answering the telephone and dealing with a range of queries, as well as the formatting and sending out appointment letters and reminders and, if necessary, changing appointments.

As some of the work will involve speaking to service users on the telephone, the post holder must display a considerable degree of tact, possess mature judgement and maintain a calm, friendly and efficient manner.

As a member of the admin team, the post holder will also be expected to assist with such activities as answering general telephone enquiries, taking messages, dealing with straight forward queries within their area of knowledge and passing other queries to the team duty worker.

The post holder will be required to work independently and apply a high degree of confidentiality to all of their work. The post is managed rather than supervised and the post holder will be the main person responsible for clinic bookings even if other members of the team contribute at times.

Main duties of the job

Duties and Responsibilities:

  • Welcome young people and their parents/ carers to the clinic.
  • Use Word templates to process clinic letters, produce appointment letters and enter appointments in the electronic patient record (currently Paris) and paper diary
  • Use touch typing, audio and shorthand skills as necessary in daily work to produce work in a timely manner
  • Send text message reminders to service users who have agreed to receive them.
  • Be proficient in using the electronic patient record for administrative purposes.
  • Use knowledge, and experience to assist other members of the admin team when requested to undertake additional admin tasks such as scanning, photocopying, answering the telephone, making up new service user assessment packs, etc.
  • Update skills as necessary and attend mandatory training
  • Work unsupervised, on a daily basis, prioritising own workload, using initiative as to what is routine and what is urgent.
  • Use agreed guidelines/procedures and developed knowledge/skills/qualifications when working autonomously and managing own work.
