Job summary

An exciting opportunity has arisen for an experienced administrator to join a new team, dedicated to offering psychological support for mothers and birthing people who have experienced a perinatal loss or birth trauma.

The admin team provides a comprehensive, professional, effective secretarial administrative service predominantly to Perinatal TLC, and as required, to the CPT (Community Perinatal Team). Along with the rest of the admin team, you will be responsible for audio typing, booking appointments for clinics and meetings, answering the telephone, taking messages, passing relevant queries to the duty worker, organising rooms, sending out agendas, taking minutes and other general administrative duties.

Main duties of the job

The successful candidate will work alongside our sister-service admin team from the Community Perinatal Team. Responsibilities will include audio typing, booking appointments for clinics and meetings, answering the telephone, taking messages, passing relevant queries, organising rooms, sending out agendas, taking minutes, updating electronic database systems and other general administrative duties.

  • To be proficient in the use of dictation software.
  • Close liaison with Perinatal TLC and CPT psychologists and Doctors.
  • Processing clinic letters, produce appointment letters and enter appointments in the electronic patient record (EPR; currently Paris) and paper diary.
  • To support with the administrative tasks related to psychological interventions.
  • To send text message reminders to service users who have agreed to receive them.
  • To be proficient in using the electronic patient record for administrative purposes, including the inputting details of referrals and timely updating client records.
  • To use knowledge, and experience to assist other members of the admin team when requested to undertake additional admin tasks such as scanning, photocopying, answering the telephone, making up new service user assessment packs, etc.
  • To update skills as necessary and attend mandatory training.
  • To work unsupervised, on a daily basis, prioritising own workload, using initiative as to what is routine and what is urgent.

Essential

  • NVQ 3 or equivalent.

Desirable

  • ECDL qualification

Experience

  • Advanced secretarial skills such as audio and shorthand
  • Solid experience in a secretarial environment

  • Experience in a mentalhealth environment or NHS

Knowledge

  • Good working knowledge of email and internet
